Email, Message or SMS failure alert/pop up
Notify users when any emails, messages or SMS fail rather than having to go and check a list. Perhaps an alert at the top of the page which then produces a list of what needs to be checked. The impact of missing this information is huge, particularly with compliance.

Out of office reply for portal and comms platform messages
Would be helpful to have an out of office option for messages that are received out of hours. Especially when a tenant is requesting maintenance. We could then include emergency contact details to the email etc

Forwarding emails in Communication Platform
The new Communications Platform does not have a Forward ability and only has a reply option. Work around: If you reply to the email and replace the email address to the recipient required this will then work as a forward. Would be easier to just have a Forward option.

Ability to add an email signature not just a banner image
All email signatures currently are banners. This is very limited to having the entire content of an email signature within an image banner.
We need free text to create our own.

Allow Automated communications trigger off vacate date & add merge fields
Add Automated Communications Trigger for X Days to Vacate Date.
The current system allows you to send automated communications X days from the lease end date. However if a vacate date is entered for the tenant this blocks the communications from going out. We would like to send reminders to tenants that their lease end date is x days away as well as advise them of the rent owed to vacate. As such, we request to have the option to send automated communications based on vacate date or for the vacate date to not prevent communications triggered by the lease…91 votes -
Unread portal messages when opened by wrong team member
If someone accidentally opened another team members portal message it would be great to be able to unread this message so it still looks like it needs to be opened.

'Day Before' reminder for Rent Due
At the moment it's only for the days after, once the rent is overdue, but it would be ideal to have one for before the due date as well. For example; "Rent Due Tomorrow" with the description inside as "Friendly Reminder, your rent is due tomorrow, please make sure payment is made to avoid arrears on your ledger!"

Email communication thread, reply to agency sent email
Be able to send another email by replying to your own email when you want to send another message related to the first but you can't because the owner/tenant hasn't replied to your original message yet so instead of continuing on the same thread you have to make a whole new email thread. And that can get messy and confusing.

Additional Merge Fields
Would like more merge fields to be able to add to communication templates such as Key Numbers, Inspecting Agent, Inspection Day of the Week, Days Overdue, Strata details, Alarm Code, Bond Top Up (outstanding amount being difference between required and held)

Option to edit PDF work orders.
Create an option to edit the PDF work orders within configuaration settings. Currently you can edit the email template for creditors, however there is no option to edit the PDF version that is attached to the email.
Currently we have a discrepency between work order email and work order PDF, PDF does not state billing details and we have had problems with invoices being addressed incorrectly due to this as some contractors go off of the PDF instead of email.

Mail merge field for Tenancy ID
It is necessary to have the Tenancy ID as a Merge Field in the Auto Comm template for Tenancy Invoices. Currently, the Tenancy ID only displays on an Invoice if ‘Tenancy Invoices’ is ticked in the Trust Configuration (screenshot below) however, that is not an option for clients using DEFT, because they do NOT want to share their Trust details with the tenants, but they still want their Tenants to receive the Tenancy ID (e.g. also for adhoc invoices etc)

Auto Communications - Time and days that communications are sent
Auto Communications - Time / Day Communications are Sent -
We are constantly receiving reports from tenants that auto-communications are being received after 6.00pm.
This is not reasonable.
The auto-communications should be RECEIVED during business hours.
We should also have the ability to select whether our office chooses to send auto-communications on weekends or public holidays.
This is an issue that Property Tree should be fixing now. It's certainly been discussed enough times.26 votes -

Mail Merge Rental Arrears ability to include tenancy overview
Would like a template field for Tenancy Overview to enable an overview to be included in a mail merge for rental arrears sent to the tenant by email. I think this would help the tenants understand the arrears and avoid PM's having to send 2x separate emails.

Have arrears reminder sent to "accounts" contact instead of "tenant"
Being able to have the ability to send all invoices and reminders to the "accounts" contact and not the "tenant" contact. When the contact type "tenant" has unticked to auto send invoices, they do not get the invoices emailed to them. The contact that is ticked "Send auto invoice" gets the invoices but this contact does not get the reminders because their contact type is not "tenant" the "tenant" contact gets the reminder even though they didnt get the invoice.

Ability to filter owner automatic communications for routine inspections
At the moment we can only turn on or off automatic communications to all owners. There is no option to have it only for select owners.
We only have a handful of owners wanting to be invited to routine inspections and having the ability to turn on the automatic communications just for those owners would be ideal and save a long and tedious manual process of filtering the database to find those owners then send them an email.
