  1. The Sale Statement Tax Invoices are pretty basic, and there are a few things that are either not an option, or should be amended:

    1- When sending a sale statement for the solicitor, it should read with the vendor name, then c/o- and the solicitor name after. Currently it only reads with the solicitor name, which I don't believe it should seeing as the agency agreement is with the property owner- not the solicitor.

    2- When disbursing held funds at settlement, there should be an automatic or at least optional description field on the invoice for the vendor payment such…

  2. Flag every time a duplicate invoice is entered without it having a limit where it only looks back two months. With large rent rolls Property Managers do not always triple check these and this allows for duplicate payments to be made. Especially when the creditor is not reconciling on a regular basis.

  3. Would be efficient to be able to attach multiple trades to the one work order after the quote request stage rather than creating a new work order to each - for example, once you set the status to work order, and then find this creditor cannot complete the work, you have to cancel the job and add a new job with a new creditor. Would be much easier to be able to change the creditor and resend the current work order information.

  5. Column headings on all forms should be display on each page. For example, the owner ledger and tenancy rent summary have the headings displayed on the first page, however the information flows onto more pages and you cannot see the column heading on those pages.

  6. When you are doing work order, it would be really handy to be able to see if you have created a work order but not actually sent the work or quote order. At the moment it says it's open but you can't see until you go into each work order if it has been sent to not. we have had a couple of issues lately where they have not been sent and we think they have.

  7. It would be great if in configuration you can add multiple inspection frequency scenarios, i.e. one for 3 month and one for 6 month.
    Then when adding in a property or tenancy there is an option to select which frequency that particular property/tenant is on.

    Currently I am setting notes with reminders to update after each inspection and then resetting a note as most of my inspections are 3 monthly but there is a number of owners that only require 6 monthly. Not only does this involve more admin time, it could easily be removed from the alerts or missed.

    Hi Tash, thanks for your suggestion. I was wondering if you were aware that in the inspection tab on the tenancy, if you click the edit pencil you can override the company default (of 3 months as an example, and set this tenants inspections to 6 month frequency), so it will look to this when doing the updates. I hope this helps in the interim - as this would be a good option to have against the property, so that when tenants come and go, the set frequency for that property would remain.   8. Used the same as owners managements, smoke alarms and owners insurances this will give us a place to easily record and follow up outdated contractors. Having the ability to also send out reminders and requests for updates would be the biggest time saver.

    Hi Supporters! we've been digging deeper on this topic and after a bit more feedback if you have any -


    1. We can introduce a compliance tab to the Creditor and you'd be able to track any items you wish (you could configure your own categories as you do with properties). Would you prefer to see a separate Creditor Compliance Register for reporting, or keep this information in the current Compliance Register with the ability to filter between Property Compliance and Creditor Compliance?


    2. When a Creditor Compliance item has expired, what behaviour would you like to see? I warning when you enter a creditor against a maintenance job? and/or when a maintenance email is sent? 


    Any other notifications or areas that should be considered when we look to implement creditor compliance?

  9. When cancelling a fee there are limited options and often we cancel fees in order to pay an owners outgoings then re-enter the fee afterwards. Can you add a new option 'delay'?

  10. During a change of ownership, the vendors insurance information transfers to the new ownership and should not. Insurance policies relate to the owners not property.

  11. Add a 'Business Role' filter to anywhere there is a filter for Portfolio.

    Including Find Pages, Reporting and all Dashboards

    This will assist immensely when reporting or searching for anything by Portfolio to define the results by a specific Business' Role.

    As an example, currently in Find Profile > You cannot find a simple list of properties that are UNASSIGNED for the Business Role 'Property Manager'.

Some tenants need reminding that rent has just dropped into arrears sooner than others, like repeat offenders, on the tenancy profile, where you can turn on or off rent arrears notices, it would be great to be able to quickly click a button that would send a rent arrears notice via email or text to only that tenant.

  13. The new Communications Platform does not have a Forward ability and only has a reply option. Work around: If you reply to the email and replace the email address to the recipient required this will then work as a forward. Would be easier to just have a Forward option.

  15. When setting up an Auto Communication, it would be good to have an option to copy in the user/point of contact. I.e setting up lease expiry emails to tenants. It would be good to be alerted somehow when this email is automatically sent to tenants so we can follow up if there is no response.

It would be wonderful if we could nominate a particular Month to withhold funds, for example, owner insurance is due on 30th April each year, along with Council Rates, my owner has requested to hold funds for February & March preceding to enable there to be enough money to cover. If we could enable this on request (sometimes 6 months in advance) it would be easier to remember

  18. We have a problem with Arrears and Vacancies on the Dashboard not giving the true picture.

    The reason is largely due to Bond Claims pending action.

    To ensure Bond reconciliations are accurate, we have a policy that tenancies are not archived until the bond is settled. Otherwise, the bonds will not reconcile with the RTBA’s list for our Office/Agency (Victorian Bond Authority).

    As a result, the Vacancies and Arrears data is skewed by these “active” tenancies.

    I was wondering if we could have an alternative to “archive” for these tenancies?

    We want the bond to come up on the PT…

Be able to send another email by replying to your own email when you want to send another message related to the first but you can't because the owner/tenant hasn't replied to your original message yet so instead of continuing on the same thread you have to make a whole new email thread. And that can get messy and confusing.

  20. I have a note pinned to a property not to enter any creditor invoices, but when I process through invoice genius that pinned note doesn't appear anywhere. I think it would be great to have this link, we almost lost an owner due to an invoice being processed from her rent
