Held Funds for Tenancy
It would be nice to be able to see the reason the Tenancy has Held funds at a glance or a hover over the amount,
At the moment one needs to go into the Tenancy Ledger to find the reason, or run a report to find the reason.

Sales Advertising Reports
We need a consolidated report which is able to be separated by each sales rep (by tag maybe?) which shows all advertising spent to date for each of their own listings. I was able to produce this report in REST and would send it to each Rep monthly so they could keep track of their spending and not go over budget or if needed, contact their Vendor and request further funds.

Tenant portal rent arrears error
A tenant has called me up and advised his portal shows he is in arrears. I ahve checked his account and he has a part payment which effectively pays him up to another date so he is not in arrears. Is there a way the portal can work of the effective dates. This has been asked before on the weekly reports that come throguh as well as it shows arrears but does not take into account most have paid extra to move forward so their effective date is not passed yet so they are not techicnally in arrears. Tenancy Rent Review Report
We require additional fields when running Tenancy Rent Reviews report. We need property suburb and also the details ie no of beds, baths and car as per the information already in property tree. This is so we can conduct rent reviews from the report without the need to keep flipping backs and forwards to the property tab in property tree.

Could we have a pop up box for Commercial tenancies which informs us if the tenant is registered for GST or not.

Arrears in + instead of $0.00
eg: if renter has a part payment and is vacating, show a positive under the rent (Total Arrears) instead of showing $0.00 show a + to indicate overpayment

Merge field for bond held amount
Merge field for bond held amount
There is no available merge field right now for bond held amount from “PT’s Property Management mail merge fields”. This is to be added to mail merge templates we use. Please get this added so the amount appears in the templates we use on a daily basis.
Can bond held be also visible on the tenancy card overview alongside with rent weekly, paid to date, total arrears etc.?
This really would be of great help on my end & really important to our contracts preparation. Thank you

Vacate tenant - integrate bank details
When a tenant vacate date is entered, we should be able to put in the tenants bank details so that when bond is received, we can process the refund quickly.

Invoice Genius: Keeping creditor name for multiple invoices from the same creditor
Once you've entered an invoice and approved it, keeping the last creditors name in the creditor field so when entered water rates, council rates, OC fees, etc. you don't have to keep entering the creditors name. If the creditor changes, then you can just enter the new creditor.

Withhold Ownership Funds Automatically
It would be good if you could automatically set an amount to withhold from owner funds each month. This would allow sufficient funds to always be available to pay quarterly rates bills. We find at times that one months rent is not always enough to cover the rates levy.

Sales journals
When paying out vendor payments to agency to cover shortfall on commissions payable there should be an option when paying out multiple sales that it operates like a vendor clearing account. This way you have a bulk total which is better than doing multiple journals to and from each property making it messy. As 5% sales are not uncommon this should be a option when paying out a vendor with a large number of properties.

Add phone conversation as a communication record
It would be great if the communications tab could be expanded to include a record of phone calls. I know a note could be created, but all communication events should really be in the one place.
Currently you can see all emails and text messages that have been sent but having the ability to manually add a record of a conversation would really complete this feature.
The communications tab could then be enhanced with an option to filter by 'category'.

Story Sheet
Every transaction sends a story sheet to the purchaser and vendor conveyancer. It outlines the particulars of each sale and all contact information of the involved parties.
The Story Sheet details are collected on one A4 page.
Details include
Agency details and contact information
Selling agent's details and contact information
Property Address (Full)
Vendor's details and contact information
Vendors Conveyancers details and contact information
Purchasers details and contact information
Purchaser Broker details and contact information (if required)
Puchaers Conveyancers details and contact information
Purchase amount on the contract
The deposit paid and the date held in the trust account

Owner statements (last payment)
On the ownership window, the last payment should reflect the "last payment" made, even if its $0.00. At the moment, it gets a little confusing because it shows last payment (this could be from a month before) and last statement being the latest statement. I.e an owner didn't have enough money to pay all outstanding bills so this months payment was $0.00. On the ownership window, it doesn't show $0.00. It shows their last payment from the month before.

Wording - Statements
We have just had a complaint about the wording on the Tax Invoices issued. When a new Tax Invoice is issued it has all the others issued prior listed as outstanding when in actual fact they are not outstanding. They are due in the future. Is there a way of changing the wording on this Statement that is issued to the Tenants

Smoke Alarm Compliance
Need another section in the 'TYPE" dropdown field to say Both. We have some properties that have both Hardwired and Battery Smoke Alarms. At this point you can only pick on or the other. We have to use 'unknown' which is not correct and then makes our staff have to search for the last service report to check what is at the property.

Breach Inspections
The option to add breach inspections as a type of inspection for example; routine, breach, ingoing, outgoing. Allowing breach inspections to be uploaded and sent to owners through the system. Send automated reminder notice to tenant. Keeping them grouped with other inspections for the tenancy. Which would also be beneficial when going to court with the report function. Making this task easier and more efficient.

Sales reports
Sales reporting - there are no reports you can generate for KPI's. All the data is put in for Listing and Selling Agent and dates of agency agreements but you cannot generate a report (monthly, quarterly) showing individual agents commissions etc.
If we put all the data in, why can we not generate reports like this?3 votes
