Pinned Note for Inspections & Maintenance Quotes/Jobs for safety issues ie dangerous dog
Be able to enter a permanent note on inspection reports ie Dangerous Dog @ Property. Also some form of automation for maintence so trades are aware. Especially helpful if staff do not usually attend the property. Even if it was a pinned note but instead of selecting the current options of PPty Note, Ppty receipt or Creditor/Tenancy it could be an inspection or maintenance pinned note.

Status updates on Work Orders
Work orders should have "Status Updates" on work orders. Such as Quote Requested, Waiting on Approval, Work Order sent, Completed, Rejected, Hold, Owner Attending.

When sending a work order to a trade an automated email is generated to the renters advising them their request has been assigned and list the trade who will be in contact with them.

Send log for maintenance
Please create a log with dates, times and recipients for maintenance jobs.
At the moment the only info that is provided is the date the job was created. Nothing to show if/when it was sent and if you resend the job as a reminder and confirmation it was received. We also do not get notified if the email fails to send to the intended recipient.

Work Order Auto Reminder to Trade
Trades to receive automatic reminders following up outstanding work orders in the system. It would be great if this was setup and sent to the trade first thing in the morning on a weekly basis until work has been completed and job has been closed off.

Routine Scheduling based on Property not Tenancy
Have a way to set routine inspections by PROPERTY not TENANT - it just links the current tenancy automatically. This way we can set up auto-reschedule for every 26 weeks and not have to edit the routine dates when a new tenant is locked in.

Ingoing inspections prior to adding tenancy
We would love to be able to schedule an ingoing condition inspection without a tenancy profile. We often have staff completing inspections before we have leased a property, particularly with our current turnover rates here in Vic. It would be advantageous to have a manual add from the property profile.

Work order
At this present time, no matter who creates the work orders, all work orders created under the portfolio, are listed under the property manager..... so all responses go directly to the pm.
Why cant the work orders come from who is creating them, that way THEY get the responses back to their email and it is noted who has done them

Have owners name/invoice details in the work order (not just the email)
Owners details (NAME) are not appearing on work orders via link.
Tax invoices should be addressed to the owner care of the estate agents address.
There is no mention of the owners detail at all on the work order link.
We have it set up so they get the owners details in the original email. However when work orders are going through to the contractors accounts department they are not receiving the owners details. We would like a field included on the work order to include owners details so invoices are received correctly.22 votes -

When owners use their own trades or have specific trade person instructions for agent and tenant have a section of maintenance screen where it highlights so no errors are made in using incorrect people

Include a pop up when entering in a vacate date of whether the agent would like to remove an upcoming routine inspection or not.

Routine inspection fees separate from ingoing inspection fees
Currently if you have a routine inspection fee in place but don't charge for ingoing or outgoing inspections you manually have to delete the fee it would be nice if you could match the fee to the individual inspection rather than it be applied to all routine, ingoings and outgoings.

Work orders and pictures be sent as pdf attachments rather than links.
We have found that strata companies and now many of trades will not click on links. This is causing us duplication of work as we resend the work order as an attachment.

Complete maintenance with no creditor
Sometimes we put maintenance in for a reminder to ourselves that the owners direct tradie or the builders have to attend to under warranty. We don't get their information and/or they are not a creditor that we pay and we don't send them through the system, having a way to close the job as completed by external party would be good rather than just cancelling the jobs.

Apply a due date to maintenance requests for trades
When issuing a work order for a tradesperson, we should be able to select a due date that they need to have this completed by. If they don't complete it by this due date, we can then filter through overdue work orders and follow up from there.
