1. Read-Only Contractor Manager Role for Compliance

   User Role Enhancement – Read-Only Contractor Compliance Access
   Summary

   Introduce a new read-only Contractor Management permission or user role that allows users to view contractor information and compliance without the ability to edit or manage contractor records.

   Business Need

   Many organisations have Contractor Management User Roles (Global, limited, manager or coordinator), reception staff, security personnel, and compliance teams who only need to verify whether a contractor is compliant before granting site access.

   Currently, users must be assigned a Contractor Manager role (Administrator, Manager, or Coordinator) to access Contractor Management. However, all of these roles include the ability to make changes to contractor records within their permitted scope.

   There is no option to grant users view-only access.

   Proposed Enhancement

   Introduce a new permission or user role (for example, Contractor Viewer, Contractor Read-Only, or a similar permission under User Roles) that would allow users to:

   View contractor profiles.
   View contractor compliance status.
   View police clearances and certifications.
   View contractor organisations.
   Search and filter contractor records.
   View contractor history and reporting (where permitted).

   The role should not allow users to:

   Edit contractor or organisation details.
   Delete contractor profiles.
   Update or remove certifications or police clearances.
   Change contractor status or access.
   Assign Organisation Owners.
   Perform any administrative or management actions.
   Business Benefits

   This would allow organisations to separate operational visibility from administrative responsibility.

   Site Hosts and security personnel could quickly verify whether a contractor is approved to enter a site without being given permissions that allow them to modify contractor records.

   This would:

   Improve governance and security.
   Reduce the risk of accidental or unauthorised changes.
   Better support organisations with strict compliance and auditing requirements.
   Provide greater flexibility when assigning user permissions.
   Use Case

   Staff that needs this kind of Access or User Role only need to check whether contractors are compliant before allowing them access to site. At present, we must assign a Contractor Manager role, which also grants editing capabilities.

   A dedicated read-only permission or user role would allow staff to perform their day-to-day responsibilities while ensuring only authorised users can modify contractor information and compliance records.

2. Portal Administration > Data Access Permissions: add an "Edit" permission

   Currently the Insurance and Contracts tabs of the Data Access Permissions allow Portal Users to Add policies, Delete Policies, or Read Only.

   This means that if we want portal users to keep their insurances up to date, there is no restriction on them creating new policy entries rather than adding another attachment to the existing policy entry.

   They can also add policies which are irrelevant to their works with our organisation, leading to later administrative issues when responding to triggers for an expired policy we never required.

   Implementing an "Edit" permission would allow portal users to update their existing policies to extend due dates with the provision of a new document, while also controlling the proliferation of extra policy entries cluttering up the organisation profile.

4. Customizable Login Permission Email Template

   Description:
   
   Currently, the Login Permission email template in OnLocation cannot be customized. Organizations need the ability to edit this template so they can provide clear instructions that match their authentication setup (e.g., SSO via SAML). Without customization, users often receive confusing instructions, which leads to unnecessary Service Desk calls and delays.

   Enable administrators to customize the wording of the Login Permission email template (subject line and body text) directly in the OnLocation UI.

5. Contractor Profile Status vs. Access Rules

   Problem:
   
   Contractor profiles remain marked as Active (green) even when requirements such as permitted dates, inductions, or other compliance checks have expired. While the system correctly denies sign‑in, the mismatch between the “Active” label and denied access causes confusion at the front desk.

   Replication:

   Create a contractor profile with permitted dates and induction requirements.

   Allow permitted dates or induction to expire.

   Attempt kiosk sign‑in → denied, but profile still shows Active.

   Current Design Logic:

   “Active” reflects that the contractor’s profile is still valid with their organization.

   Access is controlled separately by permitted dates, induction completion, and other profile rules.

   This separation allows administrators to renew dates or update inductions without resetting the entire account status.

   Impact:

   Department of Corrections manages ~3000 contractors/providers.

   Manual/bulk updates to set expired contractors to Inactive are not feasible at scale.

   Front desk staff are confused daily, impacting security compliance.

   Request:
   
   Introduce clearer visual indicators of the Contractor's Status if it's Active or other way to reword it, label, or other workaround. This would make the front desk view more intuitive and reduce confusion.

6. Flexibility to send induction links through whatsapp App and push notification

   The higher use of the SMS feature is for sending inductions links to contractors, most of the peoples uses social networks instead of email, as the most of them would not review their email, our customers uses SMS to share the inductions links; WhatsApp would be an excellent option to receive inductions links.

7. Retroactively Sign In a Visitor

   On several occasions, we have visitors/contractors who came onsite but didn't sign-in or forgot to do so, for whatever reason and was let in by staff.
   It wasn't good. It will be great if the onLocation system allow us to retroactively sign these people in after they have already here or have left site, if we know their details. This will allow us to at least have records of their present for future reference. Thanks.

9. Report to See When a Contractor Organization Was Last On Site

   Customers would like the ability to report on the most recent onsite activity at the organization level, not just by individual contractor records.

   Current Limitation:
   The People Presence Report can show the last sign-ins per individual, but there is no automated or direct way to determine the last activity date for a contractor organization as a whole.

   Why This Matters (Customer Value):
   Many organizations manage contractor relationships at the company level rather than individual worker level. The ability to track an organization’s most recent onsite activity would support:

   Contractor compliance monitoring (e.g., “Which approved vendors are still active?”)

   Contract review and renewal decisions (e.g., shutting down or renewing access for inactive suppliers)

   Site and safety oversight (e.g., ensuring only current and relevant vendors remain enabled for access)

   Operational efficiency by eliminating manual checks or workarounds using individual sign-ins.

   Having a “Last Seen On Site (Organization)” field or report would reduce manual admin effort and improve visibility across contractor engagement.

   Suggested Approaches (Flexible):

   Add a column in People Presence, Contractor Report, or Organization Profile showing:
   ➤ Last organization sign-in date (based on the most recent sign-in from any linked member)

   Allow this field to be filterable, sortable, and exportable.

10. Can we remove the ability of ‘Limited Certification Managers’ to add new certificates (limit user access or create a new user role)?

    I have this request for deeper control from Matthew at Cummins. Could you consider the ability to turn on or off the ability for a Limited Certification Manager to add new certificates, as we have customers that use this feature, and giving the ability to turn on or off the option will give total control to the customer.

    In the Custom Questionnaires setup under Locations > Sign In/Out Questions > Custom Questionnaire, when configuring a question using the Add Option function, users can currently add an image to an option.

    It would be helpful for the future to extend this functionality to support file attachments (e.g. PDF, DOCX) so administrators can upload reference or compliance documents directly within a questionnaire question.

    Example Use Case:

    A visitor may need to view and acknowledge a safety briefing or policy document before completing sign-in.

    Visitor-like Induction questionnaires could include procedural PDFs or forms without redirecting to another system.

    Proposed Enhancement:
    Add an “Attach File” option (similar to “Add Image”) when configuring question options. Files should be viewable or downloadable within the kiosk, Sign In/Out Manager, and using mobile devices if applicable.

    Currently when a contractor or employee scans the QR code so they can complete their induction, it brings up a list of all inductions, it would be good if this could only bring the associated inductions that are required, as not everyone will know what induction to complete. Thanks

15. Add a Multiple Visitor easier

    Please add "Save and ADD NEW" button.
    With current solution if you add multiple visitors you need to click three (3) times to get back to to adding a new. Doing this with 10 - 40 people is very time consuming.

18. batchprint

    Can you make is possible to batchprint pre-registered visitors badge passes? Add it like a feature to activate so its not on as default. We have a customer that print up to 100 passes at the time and they dont like to manually click out every pass.

19. Alcolizer randomisation

    We already have an integration fro Alcolizer, I have asked multiple times over the past 6 years to allow randomisation to apply. Currently we can only breath test every person, customers are asking for and some of our competitors already have the ability to randomize who needs to complete a breath test. The ability for the customer to set some rules like every contractor must do 3 breath tests a year or 45% of contractors and 20% of employees must complete a breath test in a 12 month period.

    I want Team Leaders to be able to check if an employee has completed an appointment offsite in the time expected. e.g. other employee tracking apps allow the employee to load expected time at appointment offsite, if they don't check in by x time their team leader gets a prompt to check in. The team leader will need to be different for employees in different teams. It needs to work offsite- e.g. bob goes to see client offsite at 4pm, expected to finish at 5pm, he goes straight home after. Team leader gets a prompt to check in at 5.15 that he is safe.

    We have a scheduled roadmap item for later in 2025 to implement safety check-ins for employees and contractors. We will take your suggestion into consideration and open this up for further votes.
