Option to have a textbox for answering a questionnaire in eLearning/Induction/Courses
Option to have free text textbox for Employee/Contractors to answer an induction question as currently we only have an option to select a single/multiple/image options. This is basic requirement for any eLearning/Courses where the question type would be choice based ( single/multiple/image) selection or a free text for users to provide their comments. Kindly review and let me know when you think this can be added. We wanted to use OnLocation system as our core LMS system without having to license any other 3rd party systems.
2 votesThank you Vini for the feedback. If we add a 'free text' option then the ability to 'pass' someone on that specific question would be based on them entering something; in fact anything at all (even n/a). As we could assess a statement entered by the inductee being true or false is there are specific example you could share with me directly of a question.

Employee Activation email
Make the employee Activation email editable. The email that a new employee receives on a new account creation is horrible. Please allow admins to modify the template.

Option to add triggers to certain spots during sign in
We have a trigger to not allow employees to sign in if the induction training is incomplete. But the trigger does not pop up until the employee goes through the whole sign in process and answers about 10 questions. It would save a lot of time if the trigger popped up on the screen right after the employee searched for their name. This would also be helpful for contractors as well.

WolEvac
Amend the Evacuation text to mention the created zone because some staff members consistently move around the site such as the yard team and maintenance team, meaning they could be in any zone. Therefore, when I create an event, I always include these individuals. It would be beneficial for them to know the specific zone we are evacuating. If they are not in that zone at that moment, they do not need to evacuate.

Visitors/contractors get the visitor pass on their phone. Would one option be having the QR code on the tablet which they scan, fill in data on their phone then that pass stays on their phone.

Ability to push visitor or contractor (member) photo image into the profile of the visitor or member through the API.
Ability to push visitor or contractor (member) photo image into the profile of the visitor or member through the API. Currently, we can do this with employees, we need the same functionality to add the photo through API for visitors and members.

Increase Multi Language depth in OnLocation to go deeper into the solution so all aspects are multi language not just a few sections.

Spanish would be a great start for many new locations coming on board in South america.

Custom Report Filters
Please allow us to chose which data fields are pulled into reports through a "custom favourites" feature.
E.g. being able to unselect fields like "Organization" or "Course Learners" and replace them with other data fields like "Employer'.
These filter selections should have the ability to be saved as "favourites" and nameable for users to construct their own customised reporting suited for business need.

Host gets to deny access to the person signing in
When a visitor, contractor or employee signs in and a message is sent to an employee host the host can deny access stopping the person being signed in. This is a situation where an employee or contractor may have been fired yesterday, they are not yet on the watchlist and the host can still action "deny access" if the person signs in as a visitor, contractor, or employee and the host is selected and a message is sent to the host.

Pre-built Contractor Questionnaires
Pre-built contractor questionnaires to choose from and customize. It would be really helpful to see some of the ways to structure the sign-in process for contractors. This could also be a good idea for the community portal where other users can share how they are integrating their contractors, what questions they are asking, and how they are storing and managing required documents. It would be interesting to see the best way to ask for pre-job and post-job documents and any permits requested to go paperless.

Option to change work alone setting by Area/Zone
Add option to change work alone setting when changing work area/zone. For example, I may check in to work in Zone A working with a partner (not working alone). However, after completing the work in Zone A, I may move on alone to Zone B to do work there. It would be great if I could change my work alone setting in the OnLocation app at any time to reflect my work alone status at that time.

Portal Administration > Data Access Permissions: add an "Edit" permission
Currently the Insurance and Contracts tabs of the Data Access Permissions allow Portal Users to Add policies, Delete Policies, or Read Only.
This means that if we want portal users to keep their insurances up to date, there is no restriction on them creating new policy entries rather than adding another attachment to the existing policy entry.
They can also add policies which are irrelevant to their works with our organisation, leading to later administrative issues when responding to triggers for an expired policy we never required.
Implementing an "Edit" permission would allow portal users to update their existing policies…

Change Insurance Status Filter to Multi Select
On the Contractor Organization > Insurances screen, the Status filter is single select. It would be helpful to be able to select multiples. eg, show all Approved and Pending insurances, but hide Expired.
This is not possible with the current setup.

Allow Dashboard to Filter by Access Point instead of Only by Site/Location
Suggestion:
Currently, Dashboards can only be configured to display people presence information at the location (site) level. We have received customer feedback requesting the ability to create dashboards for a specific Access Point rather than the entire site.
Customer Use Case:
A customer has multiple access points configured within a single site (e.g., Reception, Engineering, Operations, Construction, Tourism) and would like a dashboard that displays only the people who have signed in through a selected access point. For example:
Site: Bargara Road Office
Access Points:
Bargara Rd Reception
Bargara Rd Engineering
Bargara Rd Operations
Bargara Rd Construction

Event Workforce Inductions
Implement a streamlined, QR code–enabled induction platform that allows all event workforce personnel to complete their required induction quickly and efficiently, without the need for pre-registration.
Workers can access the induction by scanning a QR code—either sent in advance or available on-site prior to venue entry—ensuring they are informed of key requirements such as evacuation procedures, health and safety expectations, and site-specific protocols.
Upon successful completion, each individual is issued a unique, personal QR code, which can be scanned at entry points to verify that their induction has been completed. This enables real-time visibility of inducted personnel on site and…1 vote -

Enable OnScan Photo ID Capture During Visitor Sign-In on iPad Kiosk
Description
While we are aware that OnScan is currently designed for staff-driven ID capture primarily because kiosk devices like iPads do not have the camera quality or validation controls needed to reliably confirm ID documents this design creates challenges for certain customer environments. The expectation in most organisations is that IDs are visually checked by reception or security staff to ensure authenticity, which is why the product requires staff involvement rather than visitor self-service.On the customer side, however, this approach is not always workable. At one location, Photo ID is still being captured manually on paper during kiosk sign-in.…

Support for Custom Badge Pass Label Sizes
Description
One of customer's locations is requesting the ability to use smaller badge pass label sizes when printing visitor badges using Brother QL series printers.
Currently, OnLocation appears to support standard/predefined label formats only, but the Brother QL series printers also support continuous label rolls, which allow custom label dimensions (within supported printer constraints).
With Brother QL printers, it is possible to print custom-sized labels using continuous rolls (e.g. 62mm width rolls), where the label length can be dynamically adjusted through the printer driver or P-touch Editor software. This allows labels in smaller formats such as approximately 35×62 mm up…

History Tracking for Employee User Role Changes
Summary
Add a dedicated and permanent audit/history log for Employee User Role assignments and permission changes within OnLocation, similar to the visibility currently available for Contractor Organisation Role Type updates.
At the moment, administrators can only track Employee User Role changes through the Data Audit logs, which are limited to a 30-day retention period. After this period, the history is no longer visible, making it difficult to trace older permission changes or investigate access-related concerns.
Current Limitation
Currently:
Employee User Role changes can only be checked through Data Audit
Data Audit history expires after 30 daysThere is no dedicated…

Multi Language for OnEvac
OnEvac could really use more languages or options for sending out SMS to users in their own language. When doing an evac it is important that the users understand the SMS they get, and if they don't read english they will not evacuate.
1 voteHi David.
Thanks for your suggestion.
We will investigate how we can better support multiple languages during an evacuation. I believe a limitation we have encountered to date has been with recognizing the 'SAFE' response to messages at the SMS provider level. I'll open this up for votes form the community.
Thanks
Karl
