   Summary

   Provide the ability for administrators or hosts to add notes/comments to visitor sign-in records when manually signing visitors in or out through the portal.

   Current Behavior

   When visitors are manually signed in through the portal, there is no dedicated field to record additional information such as actual arrival time, departure time, reason for manual entry, kiosk outage details, or other attendance-related notes.

   Requested Enhancement

   Allow users to add and retain notes against a visitor attendance record, either during sign-in/sign-out or by editing the visit record afterward.

   Customer Use Case

   The customer's kiosk experienced issues, preventing some visitors from signing in and out themselves.

   To maintain accurate records, staff manually created the visitor sign-in records through the portal. However, they were unable to record the visitors' actual arrival and departure times or document why the visit was entered manually.

   Customer Impact
   Loss of contextual information for manually managed visits.
   Reduced auditability of visitor records.
   Difficulty maintaining accurate attendance history during kiosk outages or operational disruptions.

   Provide a shared visitor directory that allows authorized users to access and reuse visitor records saved by other users within the organization.

   Customer Use Case

   Organizations frequently host the same contractors, clients, vendors, and repeat visitors across multiple sites and departments.

   Currently, each host must create and maintain their own copy of the same visitor record. For example, if one employee saves a contractor in My Visitors, another employee hosting that same contractor cannot reuse the existing record and must create it again.

   Duplicate visitor records are created across the organization.
   Increased administrative effort to maintain repeat visitor information.

4. Phone number field on the sign-in page appears to accept any number of digits, with no validation rules.

   I'd like to flag an issue with the phone number field on the sign-in page. It currently appears to accept any number of digits, with no minimum or maximum length or validation message to guide users. The asterisk indicates that the field is required, but there appear to be no other validation rules, allowing users to proceed with an incomplete phone number.

   I'm raising this to help improve data accuracy and the user experience.

5. Sign In/Out Manager – Distinguish Home Location from Current Location

   Description:
   We’ve noticed some confusion in the Sign In/Out Manager regarding the Location field.

   Currently, the Location column appears to show the employee’s home/default location, even when they have signed in at a different location.

   For example, an employee may have a home location of Twizel Office but sign in at Wellington Office. In this case, the Location field can be misleading because it doesn’t appear to reflect where they have actually signed in.

   Suggested improvement:

   Rename the current “Location” field to “Home Location” to make it clear what it represents; and/or

   Add a separate “Current Location” field that shows the location where the employee actually signed in.

   This would make the information in the Sign In/Out Manager much clearer and help avoid confusion when employees sign in at locations other than their home location.

   Currently, the On Evac module allows users to directly dial attendees from the attendee list. It would be beneficial to have the same functionality available within the On-Site Insights section of the mobile app.

   The request is to add a Dial option for visitors and contractors listed under On-Site Insights, allowing users to quickly call attendees directly from the app without needing to manually look up their contact details.

   Business Value:

   Faster communication with visitors and contractors on site.
   Improved efficiency for site administrators and security personnel.

7. Department-Based Administration Permissions

   Summary

   Allow administration permissions to be assigned or restricted by Department in addition to the existing Location-based permissions.

   Current functionality

   OnLocation user roles determine what a user can and cannot do within the application. For many administration roles, access is then controlled by Location.

   The current permission model can therefore be understood as:

   User Role = what the user can do
   Location = where the user can do it

   For example, an Administrator can be assigned as either:

   Global – manage all locations in the account
   Limited – manage only the locations assigned to them

   A similar Global/Limited structure is used across a number of other roles, including Induction Manager, Reports Manager, Sign In/Out Manager, Triggers Manager, Identity Manager and OnPass Manager.

   Customer pain point

   This Location-based structure works well when a location represents the appropriate level of responsibility. However, some organisations have multiple departments operating within the same OnLocation location.

   For example, a single site may contain:

   Operations
   Maintenance
   HR
   Warehouse

   A manager may be responsible only for Operations, but if Operations and the other departments are all configured under the same OnLocation location, the current permission model does not provide a further Department-level restriction.

   As a result, assigning an administration role to that location may provide access more broadly than the manager actually requires.

   This can make it difficult for organisations to delegate administration to individual department managers while maintaining appropriate separation of access.

   Requested functionality

   Consider extending the existing Location-based permission model to support Department-level permissions where appropriate.

   The desired structure would be:

   User Role → Location → Department

   For example:

   Induction Manager → Main Site → Operations

   This would allow an organisation to give an Operations manager the appropriate administration role while restricting their access to the relevant department within the location.

   The intention is not to replace Location-based permissions, but to provide an additional level of granularity for organisations where Location is too broad a boundary for their operational structure.

8. Real-Time Kiosk Status Monitoring and Health Visibility

   Summary:
   Customers would like a more current and reliable way to monitor OnLocation kiosk connectivity status. The existing offline notifications and reporting do not provide enough visibility to quickly determine whether individual kiosks are currently online and functioning as expected.

   Business Need:
   Organizations with multiple kiosks at a site need to be able to quickly validate kiosk availability and identify devices that may have gone offline without relying solely on delayed offline notifications.

   Requested Enhancement:

   Display live or near real-time online/offline status for each kiosk.
   Refresh kiosk status more frequently (for example, every 5 to 15 minutes).
   Include a "Last Seen" or "Last Connected" timestamp for each kiosk.
   Allow administrators to easily identify which specific kiosk is offline at a location with multiple devices.

   Meridian Energy manages multiple iPad kiosks across sites. They need a current view of each kiosk's connectivity status to quickly validate that devices are online and operational, reducing manual checks and improving response time when a kiosk goes offline.

    What I am hoping to achieve is a workflow that sends a notification to our Reception inbox whenever a contractor provides or updates their email address during sign-in.
    Currently, the workflow rule is based on the following custom question:
    "Please enter your current email address"
    However, under Contractor - Custom Question Answer, the only available conditions are:
    • is the following
    • is not the following
    I cannot find any options such as:
    • is not empty
    • has value
    • contains text
    Could you please add additional condition for Contractor – Custom Question Answer that allows a trigger to determine whether a Text/Email custom question has a value / is not empty, and ideally whether the response has changed from the previous value.

    Currently, OnEvac Assistants must be manually assigned and maintained. During an emergency, the availability of assistants can vary significantly depending on who is present on site at the time. This can result in too few assistants being available to support evacuation activities, particularly at larger sites or when designated assistants are absent.

    At the same time, designated site managers and evacuation leaders should retain their permanent OnEvac User permissions and responsibilities.

    Proposed Enhancement
    Introduce an organisation-level configuration option:

    ☐ Automatically add employees signed into site as OnEvac Assistants

    When enabled:

    All employees currently signed into a site are automatically granted OnEvac Assistant status for the duration of their site visit.
    Designated OnEvac Users (site managers, emergency coordinators, wardens, etc.) remain unchanged and retain their existing permissions.
    Temporary Assistant permissions are automatically removed when employees sign out of site.
    Contractors and visitors are excluded unless specifically configured by the organisation.

    Business Rationale

    Increases the number of available personnel who can assist during an evacuation.
    Reduces the administrative overhead of managing and updating assistant lists.
    Ensures assistant coverage reflects the personnel actually present on site.
    Improves resilience when designated assistants are absent, on leave, or working remotely.
    Supports faster accountability and evacuation management during emergency events.

    Expected Outcome During an evacuation, all employees currently signed into the site can assist with accountability activities and evacuation response, while designated site managers continue to lead the evacuation as permanent OnEvac Users.

    When initiating an evacuation through the OnLocation OnEvac app, notification recipients can currently include employees, contractors and visitors regardless of whether they are physically on site at the time of the event. This can result in evacuation messages being sent to personnel who are working remotely, travelling, or located at another site.

    Proposed Enhancement
    Introduce an additional recipient selection option when sending evacuation notifications:

    All - Sends notifications to all personnel associated with the site, including those who are not currently signed in.

    All Personnel On Site - Sends notifications only to personnel who are actively signed into the site at the time the evacuation is initiated, including:

    Employees
    Contractors
    Visitors

    Business Rationale

    Improves the accuracy of evacuation communications.
    Reduces confusion for personnel who are not present on site.
    Ensures emergency notifications are targeted to those who may be at risk.

    SyncPortal currently does not provide Zone as an available field for mappings or rules.
    Users can map and update supported user attributes, but cannot automatically populate or update a user's Zone through SyncPortal.
    Users are wanting to assign users to evacuation zones must manually manage Zone assignments within OnLocation or use alternative methods outside SyncPortal.

    Allow Zone to be available as a supported field within SyncPortal mappings and automation rules.

    Map source data directly to a user's Zone.

    Currently, the lack of Zone support in SyncPortal requires manual maintenance of Zone assignments, which:

16. Deputy Archive Employees

    Summary

    Deputy archived employee deactivation should apply to all matched employees, regardless of whether the employee record was originally created manually in OnLocation or imported from Deputy.

    Actual Result

    When the "Deactivate archived employees" setting is enabled in the Deputy integration:

    Employees originally imported from Deputy are automatically deactivated in OnLocation when archived in Deputy.
    Employees originally created manually in OnLocation and later matched to Deputy remain active in OnLocation after being archived in Deputy.
    This behavior is currently working as designed, with OnLocation treated as the source of truth for records that originated in OnLocation.
    Expected Result

    When a staff member is successfully matched between Deputy and OnLocation, the "Deactivate archived employees" setting should consistently deactivate the employee in OnLocation when they are archived in Deputy, regardless of where the employee record was originally created.

    Feedback / Business Reason

    The current behavior creates inconsistencies in employee lifecycle management and requires administrators to manually identify and deactivate archived employees that were originally created in OnLocation.

    Organizations using HRIS → Deputy → OnLocation workflows expect Deputy archive actions to be the authoritative employment status update once a user is matched through the integration. Having different deactivation behavior based on the employee's original source of creation is not intuitive and increases the risk of:

    Former employees remaining active in OnLocation.
    Administrative overhead from manual deactivation processes.
    Inconsistent access and workforce records across integrated systems.
    Missed deactivations, particularly for organizations managing large employee populations.

    Providing an option to extend deactivation syncing to all matched employees would improve consistency, reduce manual effort, and better align with customer expectations for automated employee lifecycle management across integrated platforms.

    Within Tools > Contractor Manager > Organizations > [Organization] > Contracts > Contract Details, the Contract Expires field only provides quick-select options for:

    12 Months from Start Date
    2 Years from Start Date

    Currently, when an OnEvac event is started from the OnLocation Mobile app, emergency responders receive an SMS or email notification containing a link that opens the browser-based OnEvac interface.

    While this ensures all responders can access the event regardless of whether they have the OnLocation Mobile app installed, organisations that actively use the mobile app would like a more seamless experience.

    Customers have requested the ability for emergency responders who use the OnLocation Mobile app to receive a push notification (similar to the existing automatic sign-in notifications) that opens the event directly within the mobile app, while still retaining the existing SMS/email notification as a fallback.

    This would allow organisations to:

    Receive an instant push notification directly in the OnLocation Mobile app.
    Open and manage the active OnEvac event within the mobile app instead of the browser.

    User Role Enhancement – Read-Only Contractor Compliance Access
    Summary

    Introduce a new read-only Contractor Management permission or user role that allows users to view contractor information and compliance without the ability to edit or manage contractor records.

    Business Need

    Many organisations have Contractor Management User Roles (Global, limited, manager or coordinator), reception staff, security personnel, and compliance teams who only need to verify whether a contractor is compliant before granting site access.

    Currently, users must be assigned a Contractor Manager role (Administrator, Manager, or Coordinator) to access Contractor Management. However, all of these roles include the ability to make changes to contractor records within their permitted scope.

    There is no option to grant users view-only access.

    Proposed Enhancement

    Introduce a new permission or user role (for example, Contractor Viewer, Contractor Read-Only, or a similar permission under User Roles) that would allow users to:

    View contractor profiles.
    View contractor compliance status.
    View police clearances and certifications.
    View contractor organisations.
    Search and filter contractor records.
    View contractor history and reporting (where permitted).

    The role should not allow users to:

    Edit contractor or organisation details.
    Delete contractor profiles.
    Update or remove certifications or police clearances.
    Change contractor status or access.
    Assign Organisation Owners.
    Perform any administrative or management actions.
    Business Benefits

    This would allow organisations to separate operational visibility from administrative responsibility.

    Site Hosts and security personnel could quickly verify whether a contractor is approved to enter a site without being given permissions that allow them to modify contractor records.

    This would:

    Improve governance and security.
    Reduce the risk of accidental or unauthorised changes.
    Better support organisations with strict compliance and auditing requirements.
    Provide greater flexibility when assigning user permissions.
    Use Case

    Staff that needs this kind of Access or User Role only need to check whether contractors are compliant before allowing them access to site. At present, we must assign a Contractor Manager role, which also grants editing capabilities.

    A dedicated read-only permission or user role would allow staff to perform their day-to-day responsibilities while ensuring only authorised users can modify contractor information and compliance records.

    Many organisations have visitors who require a short site-specific safety or compliance check but do not warrant creating a full Contractor profile or assigning a formal induction.

    Currently, Pass/Fail questionnaire settings (where access is denied until the required score is achieved) are available for Employees and Contractors through Induction Management, but there is no equivalent capability for Visitors using Custom Questionnaires.

    It would be valuable to introduce a Pass/Fail option for Visitor Custom Questionnaires, allowing organisations to:

    Configure a minimum passing score or require all mandatory questions to be answered correctly.
    Prevent a visitor from completing sign-in if they do not meet the required pass criteria.
    Prompt the visitor to retry the questionnaire until they achieve a passing result (or follow an organisation-defined process).
    Record the questionnaire results against the visitor's visit for reporting and auditing purposes.

    This would be particularly useful for:
