Text/Email custom question
What I am hoping to achieve is a workflow that sends a notification to our Reception inbox whenever a contractor provides or updates their email address during sign-in.
Currently, the workflow rule is based on the following custom question:
"Please enter your current email address"
However, under Contractor - Custom Question Answer, the only available conditions are:
• is the following
• is not the following
I cannot find any options such as:
• is not empty
• has value
• contains text
Could you please add additional condition for Contractor – Custom Question Answer that allows a trigger to…2 votes -
Google Workspace Integration like Azzure
Many customers use Google Workspace in place of Microsoft. These customers are asking for Google Workspace integration, like we have with Azure. The Google Workspace integration will update employees in OnLocation like Azure and also integrate Google Calendar. It will be interesting to see how many people out there are using Google Workspace and OnLocation.

Option to Automatically Add Signed-In Employees as OnEvac Assistants
Background
Currently, OnEvac Assistants must be manually assigned and maintained. During an emergency, the availability of assistants can vary significantly depending on who is present on site at the time. This can result in too few assistants being available to support evacuation activities, particularly at larger sites or when designated assistants are absent. At the same time, designated site managers and evacuation leaders should retain their permanent OnEvac User permissions and responsibilities.
Proposed Enhancement
Introduce an organisation-level configuration option:☐ Automatically add employees signed into site as OnEvac Assistants
When enabled:
All employees currently signed into a site are automatically…

Tick Box for 'Are you safe' SMS for 'All Personnel On Site'
When initiating an evacuation through the OnLocation OnEvac app, notification recipients can currently include employees, contractors and visitors regardless of whether they are physically on site at the time of the event. This can result in evacuation messages being sent to personnel who are working remotely, travelling, or located at another site.
Proposed Enhancement
Introduce an additional recipient selection option when sending evacuation notifications:All - Sends notifications to all personnel associated with the site, including those who are not currently signed in.
All Personnel On Site - Sends notifications only to personnel who are actively signed into the site…

Support mapping and rule-based assignment of Location Zones through SyncPortal.=
Summary
Support mapping and rule-based assignment of Location Zones through SyncPortal.
Actual Result
SyncPortal currently does not provide Zone as an available field for mappings or rules.
Users can map and update supported user attributes, but cannot automatically populate or update a user's Zone through SyncPortal.
Users are wanting to assign users to evacuation zones must manually manage Zone assignments within OnLocation or use alternative methods outside SyncPortal.
Expected Result
Allow Zone to be available as a supported field within SyncPortal mappings and automation rules.
Administrators should be able to:
Map source data directly to a user's Zone.

Deputy Archive Employees
Summary
Deputy archived employee deactivation should apply to all matched employees, regardless of whether the employee record was originally created manually in OnLocation or imported from Deputy.
Actual Result
When the "Deactivate archived employees" setting is enabled in the Deputy integration:
Employees originally imported from Deputy are automatically deactivated in OnLocation when archived in Deputy.
Employees originally created manually in OnLocation and later matched to Deputy remain active in OnLocation after being archived in Deputy.
This behavior is currently working as designed, with OnLocation treated as the source of truth for records that originated in OnLocation.
Expected ResultWhen a…

Add "5 Years from Start Date" quick-select option for Contract Expiry
Organizations that frequently create 5-year contracts want to set the contract expiry date quickly without manually navigating the calendar for every contract they create.
Current limitation
Within Tools > Contractor Manager > Organizations > [Organization] > Contracts > Contract Details, the Contract Expires field only provides quick-select options for:
12 Months from Start Date
2 Years from Start Date
3 Years from Start DateWhen a contract is intended to run for five years, users must manually open the calendar and select the expiry date each time.
Requested enhancement
Add a "5 Years from Start Date" quick-select option alongside the…

Support OnLocation Mobile Push Notifications for OnEvac Event Alerts
Description:
Currently, when an OnEvac event is started from the OnLocation Mobile app, emergency responders receive an SMS or email notification containing a link that opens the browser-based OnEvac interface.
While this ensures all responders can access the event regardless of whether they have the OnLocation Mobile app installed, organisations that actively use the mobile app would like a more seamless experience.
Customers have requested the ability for emergency responders who use the OnLocation Mobile app to receive a push notification (similar to the existing automatic sign-in notifications) that opens the event directly within the mobile app, while still retaining…

Read-Only Contractor Manager Role for Compliance
User Role Enhancement – Read-Only Contractor Compliance Access
SummaryIntroduce a new read-only Contractor Management permission or user role that allows users to view contractor information and compliance without the ability to edit or manage contractor records.
Business Need
Many organisations have Contractor Management User Roles (Global, limited, manager or coordinator), reception staff, security personnel, and compliance teams who only need to verify whether a contractor is compliant before granting site access.
Currently, users must be assigned a Contractor Manager role (Administrator, Manager, or Coordinator) to access Contractor Management. However, all of these roles include the ability to make changes…

Allow Visitors to Have Pass/Fail Custom Questionnaires with Access
Description
Many organisations have visitors who require a short site-specific safety or compliance check but do not warrant creating a full Contractor profile or assigning a formal induction.
Currently, Pass/Fail questionnaire settings (where access is denied until the required score is achieved) are available for Employees and Contractors through Induction Management, but there is no equivalent capability for Visitors using Custom Questionnaires.
It would be valuable to introduce a Pass/Fail option for Visitor Custom Questionnaires, allowing organisations to:
Configure a minimum passing score or require all mandatory questions to be answered correctly.
Prevent a visitor from completing sign-in if they…1 vote -
Display Custom Questionnaire Before BSIOQ During Sign-In
Stuartholme School | 9324 requesting for an option to make Custom Questionnaire to be presented as the first step during the sign-in process, before the BSIOQ questionnaire. Based on the visitor's responses to the custom questionnaire, the system should determine whether the BSIOQ questions need to be shown. If the responses meet predefined criteria, the BSIOQ questionnaire should be automatically bypassed, allowing the visitor to continue the sign-in process without answering the BSIOQ questions. This would enable customers to use their own screening questions to control when the standard BSIOQ questionnaire is required.

Allow Induction Certificates to Be Sent to a Contractor's Secondary Email Address
Currently, induction certificates are only sent to the contractor's primary email address. It would be beneficial to have the option to send the induction certificate to a contractor's secondary email address as well.
This would provide more flexibility for contractors who may use a different email address for receiving certificates, records, or compliance documentation, and help ensure certificates reach the intended recipient without requiring updates to their primary email details.

Portal Administration > Data Access Permissions: add an "Edit" permission
Currently the Insurance and Contracts tabs of the Data Access Permissions allow Portal Users to Add policies, Delete Policies, or Read Only.
This means that if we want portal users to keep their insurances up to date, there is no restriction on them creating new policy entries rather than adding another attachment to the existing policy entry.
They can also add policies which are irrelevant to their works with our organisation, leading to later administrative issues when responding to triggers for an expired policy we never required.
Implementing an "Edit" permission would allow portal users to update their existing policies…

Change Insurance Status Filter to Multi Select
On the Contractor Organization > Insurances screen, the Status filter is single select. It would be helpful to be able to select multiples. eg, show all Approved and Pending insurances, but hide Expired.
This is not possible with the current setup.

Allow Dashboard to Filter by Access Point instead of Only by Site/Location
Suggestion:
Currently, Dashboards can only be configured to display people presence information at the location (site) level. We have received customer feedback requesting the ability to create dashboards for a specific Access Point rather than the entire site.
Customer Use Case:
A customer has multiple access points configured within a single site (e.g., Reception, Engineering, Operations, Construction, Tourism) and would like a dashboard that displays only the people who have signed in through a selected access point. For example:
Site: Bargara Road Office
Access Points:
Bargara Rd Reception
Bargara Rd Engineering
Bargara Rd Operations
Bargara Rd Construction
Bundaberg TourismThe…

Bulk email reminders
Bulk Email Reminder Function for Contractor Compliance Renewals:
We recommend implementing a bulk email reminder function that sends compliance renewal notifications to both the designated portal owner and the contractor's primary business email address. This will address a common industry issue where portal owners leave an organisation or fail to action renewal requests, resulting in expired insurances and certifications. By notifying multiple contacts within the contractor's business, compliance risks are reduced, renewal response rates improve, and contractor records remain current with less administrative intervention.
Business Need
A common issue across contractor management portals is that compliance documents (insurances, licences, certifications,…4 votes -

Customizable Login Permission Email Template
Description:
Currently, the Login Permission email template in OnLocation cannot be customized. Organizations need the ability to edit this template so they can provide clear instructions that match their authentication setup (e.g., SSO via SAML). Without customization, users often receive confusing instructions, which leads to unnecessary Service Desk calls and delays.Proposed Enhancement:
Enable administrators to customize the wording of the Login Permission email template (subject line and body text) directly in the OnLocation UI.Expected Outcome:
Clearer instructions for users.
Reduced Service Desk calls.
Improved onboarding experience and flexibility for organizations.

Event Workforce Inductions
Implement a streamlined, QR code–enabled induction platform that allows all event workforce personnel to complete their required induction quickly and efficiently, without the need for pre-registration.
Workers can access the induction by scanning a QR code—either sent in advance or available on-site prior to venue entry—ensuring they are informed of key requirements such as evacuation procedures, health and safety expectations, and site-specific protocols.
Upon successful completion, each individual is issued a unique, personal QR code, which can be scanned at entry points to verify that their induction has been completed. This enables real-time visibility of inducted personnel on site and…1 vote -
Allow Changes to OnLocation Mobile Date Format
Allow the app user to switch date format to mm/dd/yyyy in the OL mobile app. The current default is dd/mm/yyyy. It doesn't update to match the account profile when changed to the US standard format.
