Issue date on work orders
Client has requested that work orders be updated to include a issue date so that creditors have a clear record of what date they were given the job. And also, if this comes up at tribunal they will need to show when it was issued.

Auto Communication > Request Owner Approval of Maintenance Job Quote add merge field by default
Can you please add the Merge Field for {Text Field On Email Dialog} to the default Auto Communication template for 'Request Owner Approval of Maintenance Job Quote'.
Reason, when selecting to send such a Request, the free text field makes a user believe any entered text will be shared with the Owner. But it won't unless a user adds that merge field to the Auto Comm prior .
It makes the free text field misleading.
Alternatively, add a comment to that free text field, informing a user to add the merge field to their Auto Comm should they want to…8 votes -
Place a creditor invoice on hold when processing a creditor run
When paying creditors, it would be really useful to be able to place an invoice on hold from the 'Pay Creditor' screen. This would be particularly useful at EOM when decisions are made in terms of holding an account to pay with funds in the following month especially at EOM when you are processing creditor payments often.

More Filtering options for Mail Merge
When filtering for a Mail Merge there should be an option when you have the list of properties to be able to sort or further filter down to a street name or something similar then when you press send maybe have the option to check who is being sent to, that way you don't accidentally send to the wrong property.

When closing maintenance, an option to mark the invoice has been sent to the owner for payment
We want to be able to flag when an invoice has been sent to the owner for payment, it's confusing when looking at closed maintenance where no invoice is linked or entered as a disbursement so a tickbox "Invoice Sent to Owner" when completing the job would be helpful

Ability to add a clickable link into the user banners i.e. QR code link to be clickable not just scannable in the image. Extend format of files from just PNG and JPEG to Other formats that include links.

Ability to preview the Sales Statement and add other email addresses (not just agency)
Ability to preview the Sales Statement without sending them to the Company Email. Currently, the only option is to send the Sales Statement to the Agent, which uses the Company Email. However, that causes an issue if the Salesperson doesn’t have access to the Company Email. If we can preview it before sending it, it allows us to double check the information.

Automate communication with tenants for cancelled invoices
Just as tenants are emailed invoices, there should be an automated email when cancelling said invoice so there is no need to do extra emailing for notification of the reason for cancellation.

Have the ability to pin/favourite files in document management so they always appear at the top of the list. Currently they all appear in the order they were saved, so when you have a property you've managed for a long time, the most important files can be the very first ones ever saved

Account name on the ledger instead of the account code
We have queries on the I&E statements and when going back to either the PM or owner it will be easier if they can see the account name instead of the account code on the ledger. There is no report to show you what has been used under a specific account code other that the ledger.

Emailing of tenancy invoices to multiple contacts through invoice genius
Tenant invoices created through invoice genius should be able to be sent to all/multiple tenants not just the primary tenant (as this option is available when entering a single tenant invoice).

Remove cancelled inspections, outgoings, ingoings from the reports that you print off.
Reports for inspections dont need to show the cancelled ones- we should be able to remove them from the report.
5 votesNote: Currently you can filter to just see "routine" inspections (excluding ingoings and outgoings), and the "in progress" Status, however this will exclude closed inspections from the report alongside cancelled.

Key note appear when no key is logged
Keys - It would be great to be able to enter a note in the key field that shows up on the property screen when there is no key number allocated, eg, if the agency does not hold a key for whatever reason.

Notes formatting
PT is very hard to read when you put a email / note in the notes section and it makes it go into a paragraph. Not easy it this is needed to be printed for some reason. Would be good for it to save as it is put in there.

Rent Payments
When Receipting rent it would be good if you could use a short cut to the bottom receipt amount (+) like rest as now we have to add the weekly rent up and receipt the balance to invoice credit due to alot of tenants paying extra for water usage.
PT doesn't let us know if for example: tenant pays fortnightly rent and one is at the old rent and one week at the new.6 votes -
Inspection Frequency
It would be great if in configuration you can add multiple inspection frequency scenarios, i.e. one for 3 month and one for 6 month.
Then when adding in a property or tenancy there is an option to select which frequency that particular property/tenant is on.Currently I am setting notes with reminders to update after each inspection and then resetting a note as most of my inspections are 3 monthly but there is a number of owners that only require 6 monthly. Not only does this involve more admin time, it could easily be removed from the alerts or missed.

I was wondering if you were aware that in the inspection tab on the tenancy, if you click the edit pencil you can override the company default (of 3 months as an example, and set this tenants inspections to 6 month frequency), so it will look to this when doing the updates. I hope this helps in the interim - as this would be a good option to have against the property, so that when tenants come and go, the set frequency for that property would remain. Tenants to be notified new paid to date when rent is reversed due admin error else they think they are well ahead
Sometimes rent is receipted twice due admin error and tenants think they are well ahead therefore it is important for tenants to be notified of their new paid to date.
