  1. We have a problem with Arrears and Vacancies on the Dashboard not giving the true picture.

    The reason is largely due to Bond Claims pending action.

    To ensure Bond reconciliations are accurate, we have a policy that tenancies are not archived until the bond is settled. Otherwise, the bonds will not reconcile with the RTBA’s list for our Office/Agency (Victorian Bond Authority).

    As a result, the Vacancies and Arrears data is skewed by these “active” tenancies.

    I was wondering if we could have an alternative to “archive” for these tenancies?

    We want the bond to come up on the PT…

  3. Flag whether the tenant is set to charge for water usage when creating a tenancy invoice and oncharging tenant via creditor invoice (currently only does within Invoice Genius so is not consistent)

  4. Allowing access to specified users of any card profiles (or blocking users) albeit Owner, Property, Tenant. Where a card may be of sensitive information and/or nature and there is a request that it not be public to all users. This is in line with the Privacy Act and is a request which we need to be able to do.

The file document system in Property tree does not provide enough protection in regards to specific access to certain documents such as Tenancy applications and Management agreements with attached ID that are stored in the document system. Legislation requires our office to collect ID such us drivers' licence, passports etc these are then stored in Documents for everyone who has access to view PT currently there is no way to restrict access to these documents types by user. I believe this should be addressed as a matter of urgency the fines for not protecting this kind of information are huge.

  10. Our product team are currently discussing enhancements to how you can use the Global Search and we'd love your feedback. This includes

    • Ability to search for phone numbers and email addresses
    • Ability to search for separate contacts
    • Reordering search results, at the moment it the results order is: Tasks; Owner; Property; Tenant; Vendor; Buyer; Creditor however would this work better for you if Tenancy results appeared first, all Contact results, or Property results? Also whether it displays the first 10 matches only with the option to click "more" so that the results to scroll through for each category is shorter?

  11. It would be useful to add a column of invoice amount under the document tap for ownership as we usually look up past invoices and look for one that has a certain figure that we have in mind.

  12. Have been using Ad Hoc emails and adding a second email address to get a copy emailed to additional tenants etc - but that doesn’t show up in the Communications or Print View (and it really should). Otherwise we have no record that the email went to both email addresses.

  14. When paying creditors, it would be really useful to be able to place an invoice on hold from the 'Pay Creditor' screen. This would be particularly useful at EOM when decisions are made in terms of holding an account to pay with funds in the following month especially at EOM when you are processing creditor payments often.

  15. When setting up an Auto Communication, it would be good to have an option to copy in the user/point of contact. I.e setting up lease expiry emails to tenants. It would be good to be alerted somehow when this email is automatically sent to tenants so we can follow up if there is no response.

  18. It would be good to have a separate option to switch off the creation of an Income & Expenditure report for an ownership, if possible. Currently, the only option is to switch off Statements and Income & Expenditure Reports

  19. A weekly generated email to the Team Leads, similar to that of the PT weekly agency overview would be great - outlining where their staff and portfolio's are at.

    Providing a view to on a Monday morning would be extremely beneficial in setting their management week week up for success.

  20. When bulk updating routine inspections it would be good to have a filter field of the date of when the property was last inspected.

    It would also be good to have a stoplight system when completing the report/sending to owner to show how frequently the property needs to be inspected due to various issues i.e. green - 9 months for good tenants, amber - 6 months for average tenants, red - 3 months for below average tenants or buildings that require a higher level of monitoring.
