1. Contractor Manager "Manager" Role to be able to Run Insurance Reports

   The ability for those with Contractor Manager "Manager" User Role to be able to run Insurance reports - currently only a Contractor Manager "Administrator" role is able to run insurance reports

   This feature would benefit our Contractor Managers greatly, as they would be able to run insurance reports for their respective sites without giving them access to a lot of Contractor Settings.

2. Evacuation - OnEvac access through OnLocation API

   Once an evacuation is triggered with OnEvac, all API integration to OnEvac, so access control points can be configured, allowing employees and contractors to tap at the evacuation access point, and this automatically, through the API, sets them to "safe" in OnEvac.

5. Optional “Getting Started” Video for Induction Kiosk + Editable Completion Message for All Induction Courses

   Customers are requesting more control over the induction experience. Two enhancements are proposed:

   1. Making the “Getting Started” tutorial video optional (Induction Kiosk only).

   2. Allowing the completion message to be editable for all induction courses, regardless of whether they are completed on the Kiosk or online.

   Current Behaviour
   A. Induction Kiosk Only
   Before an induction begins, users must go through three mandatory steps:

   a.1. Check your Profile
   b.2. Check your Organization
   c.3. Getting Started Video – “Learn how it works”
   c.4. The video step cannot be disabled.

   B. All Induction Completion Flows (Kiosk + Online)

   Once a user completes an induction course, the system displays a fixed message:

   “Congratulations! You have successfully completed and passed the [Course Name] induction. Your record will be updated and a Certificate of Learning for this Course will be emailed to you shortly.”

   This text cannot be edited by customers.

   Requested Enhancements
   1. Enable/Disable the “Getting Started” Video (Induction Kiosk Only)

   Allow customers to turn this step on or off depending on whether they feel the tutorial is required.

   1. Editable Completion Message (Applies to All Induction Courses)

   Provide a field in the induction settings where customers can edit or replace the default completion message.

   For Optional Kiosk Video:

   1. Faster flow for returning visitors who already know how the kiosk works.
   2. Reduced congestion at busy sign-in locations.
   3. More consistent experiences for repeat contractors and employees.

   For Editable Completion Message (Kiosk + Online):

   1. Let's organizations tailor final instructions (e.g., “See reception”, “Collect badge”, “Proceed to safety briefing” instead of ticking another feature like Triggers for Notification once user is done with it).
   2. Supports site-specific compliance or operational messages directly instead of before that page. Reference SF Ticket: 06905840

6. Flexibility to send induction links through whatsapp App and push notification

   The higher use of the SMS feature is for sending inductions links to contractors, most of the peoples uses social networks instead of email, as the most of them would not review their email, our customers uses SMS to share the inductions links; WhatsApp would be an excellent option to receive inductions links.

8. Support for Custom Badge Pass Label Sizes

   Description

   One of customer's locations is requesting the ability to use smaller badge pass label sizes when printing visitor badges using Brother QL series printers.

   Currently, OnLocation appears to support standard/predefined label formats only, but the Brother QL series printers also support continuous label rolls, which allow custom label dimensions (within supported printer constraints).

   With Brother QL printers, it is possible to print custom-sized labels using continuous rolls (e.g. 62mm width rolls), where the label length can be dynamically adjusted through the printer driver or P-touch Editor software. This allows labels in smaller formats such as approximately 35×62 mm up to 50×62 mm depending on configuration.

   This would be useful for sites that require more compact badge passes for security, visitor identification, or badge wearability reasons.

   Expected Benefit / Use Case
   Enable more flexible badge designs for different site requirements
   Support smaller, more practical visitor badge formats
   Align with Brother QL printer capabilities using continuous label rolls
   Improve usability for sites with high visitor volume where standard badge sizes are too large

9. History Tracking for Employee User Role Changes

   Summary

   Add a dedicated and permanent audit/history log for Employee User Role assignments and permission changes within OnLocation, similar to the visibility currently available for Contractor Organisation Role Type updates.

   At the moment, administrators can only track Employee User Role changes through the Data Audit logs, which are limited to a 30-day retention period. After this period, the history is no longer visible, making it difficult to trace older permission changes or investigate access-related concerns.

   Current Limitation

   Currently:

   Employee User Role changes can only be checked through Data Audit
   Data Audit history expires after 30 days

   There is no dedicated long-term history or tracking specifically for User Role assignments

   No easy visibility into:
   who assigned the role
   when the role was assigned
   what role was changed
   previous vs updated role permissions

   This differs from Contractor Organisation Role Types, where administrators have clearer visibility and historical tracking when updates are made.

   Proposed Enhancement

   Introduce a dedicated audit log/history tracking feature for Employee User Roles that records:

   Administrator/user who made the change
   Employee affected
   User Role assigned, removed, or updated
   Date and timestamp of the change
   Previous role vs updated role
   Location/site associated with the change
   Optional notes/reason for change

   This history should remain accessible beyond the current 30-day Data Audit retention period.

   Benefits
   Improved Security & Accountability

   Provides a clear audit trail for permission-related changes, especially for elevated administrative roles.

   Better Visibility for Large Organisations

   Helpful for organisations with:

   Multiple administrators
   Multiple locations/sites
   Shared management responsibilities
   High employee volumes
   Easier Troubleshooting & Investigations

   Allows teams to quickly identify:

   Who granted access
   Why permissions changed
   When the update occurred
   Who to contact regarding unexpected role assignments
   Consistency Across OnLocation

   Creates consistency between Employee User Role tracking and existing Contractor Organisation Role Type history visibility already available in the platform.

   Example Use Case

   An employee suddenly gains access to sensitive settings or modules months after onboarding. Since Data Audit only retains 30 days of history, administrators are unable to determine:

   who granted the role,
   when it happened,
   or whether it was intentional.

   With permanent role assignment history, administrators could quickly review the full audit trail and maintain stronger governance and compliance controls across the organisation.

    OnEvac could really use more languages or options for sending out SMS to users in their own language. When doing an evac it is important that the users understand the SMS they get, and if they don't read english they will not evacuate.

11. email showing up in dashboard of listing

    When sending an email to a contact in Eagle, to viewe there repsonse through Eagle you have to access the contact's dashboard to see their repsonce.

    Therefore once an email has been sent, you can view it on the listing page as you can associate it.

    Although my idea is to add in their reply in the listing dashboard as well attached to the email that appears in the dashboard of the property.

16. watchlist for Contractors to stop contractors signing in as visitors

    Currently the only way to build a watchlist is manually, if you have thousands of contractors this is not possible. Can we have one of the following?

    1/ OnLocation creates the ability for automatically adding contractors to a watch list once the contractor is created.

    2/ OnLocation makes available Watchlists through the API - This would allow customers to build a simple automation to add contractors to the watchlist as they are added as a member.

17. Automatic Sign In and Out Options

    Hello Team,

    We are an educational institution and during term break we don't have our teaching staff onsite unless they are coming for something specific. Is there a way that Automatic sign in and out options can be paused for sometime rather than deleting them. Depending on the staff profile, we have conditions applied to the automatic sign and out and it would be good if we can put a pause to them.

18. Retroactively Sign In a Visitor

    On several occasions, we have visitors/contractors who came onsite but didn't sign-in or forgot to do so, for whatever reason and was let in by staff.
    It wasn't good. It will be great if the onLocation system allow us to retroactively sign these people in after they have already here or have left site, if we know their details. This will allow us to at least have records of their present for future reference. Thanks.

19. Triggers Settings

    In Triggers, we use this to send text messages to people who are still signed in. At one site, we have multiple zones, one of which is a Hostel that people stay at over night. It would be good to have more configuration options for the Triggers so that we can configure it to only send text messages to those outside of this zone.

    Hi Olivia,

    Thanks for your feedback, I take it you are currently using the 'Time - triggered at a specific time' trigger?

    That does not currently support zone based trigger rules, and we will consider implementing this.

    In the mean-time as a workaround you could use the Visitor/Employee/Contractor overdue trigger set to fire at a time elapsed after sign in e.g 12 hours. The overdue trigger does currently support specifying a zone in the trigger rules.

20. SOS more functionality for responders

    When a SOS alert is activated and lets say we have 3 set responders it would be good to see that someone has responded so the other 2 don't keep trying to reach out and that a responder is then allocated that Alert and can deactivate it.
    At the moment you have no record or who responded to the alert at all.
    Would also be good to see communication within an app between SOS alert activator and responders - similar to what is available within the OnEvac App

    We will bring this to the development team to investigate how we can improve our SOS feature. We treat an SOS as an emergency where it is preferable to double-handle, but empowering SOS responders to mark the incident as resolved, and improving reporting on SOS events are great suggestions.
