  1. Currently arrears SMS messages are only sent when set up ie day 3 and 7. A way where the arrears messages could be send daily from day 3 for example, so that we dont have to set up 15 different SMS daily messages in the auto communications tab. This would benefit if there are any serial offenders or tribunal matters where it may go over 15 days, as they currently just STOP getting alerted at all which makes it worse.

  2. Add BCC to the communication platform so the "To" recipient will not review the others whereas necessary for internal reference and communication

Currenting in the Communications you can filter assigned to me or company, we are a larger office with 5 portfolio's it would assist with being able to filter by portfolio. 1 to monitor each portfolio on how they are tracking with response. 2 if a staff member is off sick or on leave another team member can filter there communications and action accordingly.

  4. We would like to be able to set up sms templates, for example when requesting funds for outstanding accounts from owners we will not email our bank details and will send details via text, having a template option will assist in getting information out quickly and efficiently.

  5. When creating a text message it would be great to have that as a 'floating' pop up window to enable the information ie arrears amount when inputting the SMS to be viewed while creating the text.

  6. Add Automated Communications Trigger for X Days to Vacate Date.
    The current system allows you to send automated communications X days from the lease end date. However if a vacate date is entered for the tenant this blocks the communications from going out. We would like to send reminders to tenants that their lease end date is x days away as well as advise them of the rent owed to vacate. As such, we request to have the option to send automated communications based on vacate date or for the vacate date to not prevent communications triggered by the lease…

Instead of the standard 'Find Out More' link that takes everyone (PM's Tenants and Owners) to the same webpage of Property Tree, create bespoke Property Tree Landing pages that detail features and benefits to Tenants/ Owners etc. The current page it takes users to is a sales page for Property Tree and so more suitable to prospective agencies and PM's.
    Or, simply remove this link in the invitation emails as the email text itself tells owners the benefits of the system for them.

  10. Being able to have the ability to send all invoices and reminders to the "accounts" contact and not the "tenant" contact. When the contact type "tenant" has unticked to auto send invoices, they do not get the invoices emailed to them. The contact that is ticked "Send auto invoice" gets the invoices but this contact does not get the reminders because their contact type is not "tenant" the "tenant" contact gets the reminder even though they didnt get the invoice.

  12. Have been using Ad Hoc emails and adding a second email address to get a copy emailed to additional tenants etc - but that doesn’t show up in the Communications or Print View (and it really should). Otherwise we have no record that the email went to both email addresses.

  14. Currently we can set up to automatically a tenant or owner that the lease is due for renewal at x days. We would like an option that we can set up automatic emails to the agent at x days so they can be triggered to individualize the communication to the owner.

  16. Auto Communications - Time / Day Communications are Sent -
    We are constantly receiving reports from tenants that auto-communications are being received after 6.00pm.
    This is not reasonable.
    The auto-communications should be RECEIVED during business hours.
    We should also have the ability to select whether our office chooses to send auto-communications on weekends or public holidays.
    This is an issue that Property Tree should be fixing now. It's certainly been discussed enough times.

  18. It is necessary to have the Tenancy ID as a Merge Field in the Auto Comm template for Tenancy Invoices. Currently, the Tenancy ID only displays on an Invoice if ‘Tenancy Invoices’ is ticked in the Trust Configuration (screenshot below) however, that is not an option for clients using DEFT, because they do NOT want to share their Trust details with the tenants, but they still want their Tenants to receive the Tenancy ID (e.g. also for adhoc invoices etc)

  19. Have separate Automated Communications for Tenancy Invoices and Commercial Rent & Budgeted Outgoings Invoices. Residential and Commercial often have different requirements/needs and hence users need to be able to customize those templates to those requirements

  20. When filtering for a Mail Merge there should be an option when you have the list of properties to be able to sort or further filter down to a street name or something similar then when you press send maybe have the option to check who is being sent to, that way you don't accidentally send to the wrong property.
