Bulk Mail Merge for All Tenants OR Owners in a Strata Plan
Suggestion to create a feature to send a mail merge email to all the tenants or owners of a particular strata plan. This will be extremely useful when agents need to forward important notices relating to all the tenants or owners. (Fire inspections, notice of building works etc.)
0 votesAs recommended by one of our lovely users, the best way to manage this is via Groups/Tags. You can then use the tag for not only mail merge, but reports too.

delete receipt
When you enter a rent payment from a tenant and it is entered incorrectly, once we delete it through the system, the tenant should receive notification that the receipt is deleted.
2 votesThere is an option on the tenancy contact as to whether they receive tenancy receipts. If this is selected, then when the receipt is cancelled the tenant will also receive a copy of the cancellation. You can find the email template for the Tenancy Cancelled Receipt under Configuration > Automated Communications

The auto-communication trigger for lease expiry notices should be increased from the current maximum of 99 days to 120 days to align with TT
As a rent increase notice in Victoria is required at least 90 days in advance, we need to liaise with both parties to confirm their intentions regarding the lease renewal.
4 votesYou can have triggers for all automated communications up to 999 days. The UI does not show this clearly, and we'll work on improving this, however, this means you can add the 120 day trigger to the owner lease expiry now.

Flag if a Tenancy ID is not unique
Please make a feature the same as key numbers where it doesn't allow duplicate use of Tenancy IDs.
2 votesWhen entering a tenant the system or editing a Tenancy ID, the system will detect if the reference number is already is use and display a warning when the user selects save. The user is prompted to select save again if they wish to continue.

Make Part Payment Reports Accessible to PMs not just Administrators
Currently the only way for a Property Manager to access reports on tenancies with part payments, is to go through an administrator profile on Business Insights. We recently became aware of leases that were signed as monthly being inadvertently entered as weekly on PT due to data scraping from IRE. Having access to part payment reports should be as easy as accessing arrears reports as they demonstrate an error either on the system or the tenant's payment amount.
1 voteUsers can be given access to Business Insights under the User Management - they do not have to be administration access users. Another report that can be used within PT is the Tenancy Leases, you can select to display the Part Payment Column in this report.

LL or TT to be able email into Communications directly
A landlord or tenant can only REPLY to an email that is initiated out of Property Tree. If the landlord or tenant wants to start a new email conversation, they have to use our Outlook email and then we have to save the communication thread into Property Tree under Documents.
What is the point of having Communications turned on if a landlord or tenant cannot email you into Property Tree directly to start a new conversation thread. A landlord or tenant should not be forced to sign up to the portal to send a message.

1 voteAny of your contacts can email you using your dedicated Property Tree email address - this is how it knows to come into Property Tree and will link directly to the relevant profile. We currently have other tasks in progress regarding Portals and bringing emails into Property Tree from Outlook. However, to email directly into Property Tree, it's that dedicated email address that your contacts need to use.

2 votesWithin the Communication Platform there is a button next to compose called "Auto" - this is your Auto Reply for either your inbox, or the company inbox.

Find tenancy invoice
When running the report in "Find Tenancy Invoice' it has a box you can tick for "Include Archived Tenancies"
There is no filter in the columns section to see a vacate date. You are unable to identify what tenants are current versus archived on the list, they are all in one.

Turn off Sending PDF Copies of Original Invoices to Tenants
With the 'New Release' that occurred in September we have since had several tenants question who they are to be paying funds to when we send them invoices, now that they are always also sent a copy of the original PDF (ie. Water Corporation Invoices).
The ability for individual agencies to turn off/on this "feature" would be imperative to ensure monies are paid to the correct persons where required.1 voteYou can choose whether a copy of the original creditor invoice is sent with the Tenancy Invoice under Configuration > Automated Communications > Tenancy Invoice. Edit the template and there is a checkbox option.

Ability to Link a paid invoice to maintenance job. In trying to close off old maintenance jobs, it would be good to be able to link the paid invoice and close the job.
2 votesYou can link the maintenance job to the paid invoice via Find Creditor Invoice. On the invoice, you can select to link the maintenance and complete the job at the same time.

Invoice Fee displayed on active Tenancy Invoices. Option to Cancel fee on Invoice
It would be great to display on an active tenancy invoice if any fees are being charged, and the option to cancel / “X” the fee
Similar to the display when the tenancy invocie is being created. Currently, you would have to cancel the invoice to correct it, or charge the manual fee.10 votesYou can cancel any property fees that were charged under the Find Fees option (or navigate via the Property Profile via Financials > View Fees).

Search Box in Document Management
Could you please add a search box to the "Documents" section under Ownership, Property, and Tenancy profiles? It would really help in quickly locating specific files.

we wish to be able to access the merge fields for invoice arrears in the mail merger and templates as we will need to email invoice arrears as adhoc items when our tenant asks for that details
1 voteMail Merge allows you to use the Total Invoice Arrears merge fields. If you wish to send your tenant a list of outstanding invoices you can also send them a Tenancy Statement.

Tenant Contact information Maintenance
When a work order is created the work order only attaches 1 tenants contact details, the work order should show multiple tenant contact details for trades people so they are not chasing us up for further contact details when the 1 named tenant doesnt respond to their calls.

Like we can see in the communications tab we can see when the recipient has open email etc.
Can we have this tab when we click on the communications when in the tenant or ownership account.2 votesIf you open the email, it will show you the opened date/time for that email. This also shows in the Communication Platform, Print View and Tribunal Report.

Email Thread - not able to reply to emails
To be able to reply to an email through PT and have that email thread, not have to start a new email altogether.
