  1. It would be great to display on an active tenancy invoice if any fees are being charged, and the option to cancel / “X” the fee
    Similar to the display when the tenancy invocie is being created. Currently, you would have to cancel the invoice to correct it, or charge the manual fee.

  2. As a rent increase notice in Victoria is required at least 90 days in advance, we need to liaise with both parties to confirm their intentions regarding the lease renewal.

    You can have triggers for all automated communications up to 999 days. The UI does not show this clearly, and we'll work on improving this, however, this means you can add the 120 day trigger to the owner lease expiry now.

  3. Option to have automated routine communications to be sent from assigned inspecting agent, instead of point of contact or company.

    Under Configuration > User Management > Business Roles you have the option to select which Business Role is to be the Inspection Contact. This can be a different business role than the Property Management Contact. The Business Role that is selected as the Inspection Agent will be who the Inspection Communication will send from when Point of Contact is chosen as the Send From option.   4. Suggestion to create a feature to send a mail merge email to all the tenants or owners of a particular strata plan. This will be extremely useful when agents need to forward important notices relating to all the tenants or owners. (Fire inspections, notice of building works etc.)

  5. When you enter a rent payment from a tenant and it is entered incorrectly, once we delete it through the system, the tenant should receive notification that the receipt is deleted.

    There is an option on the tenancy contact as to whether they receive tenancy receipts. If this is selected, then when the receipt is cancelled the tenant will also receive a copy of the cancellation. You can find the email template for the Tenancy Cancelled Receipt under Configuration > Automated Communications

  6. Please make a feature the same as key numbers where it doesn't allow duplicate use of Tenancy IDs.

    When entering a tenant the system or editing a Tenancy ID, the system will detect if the reference number is already is use and display a warning when the user selects save. The user is prompted to select save again if they wish to continue.

  7. When a work order is created the work order only attaches 1 tenants contact details, the work order should show multiple tenant contact details for trades people so they are not chasing us up for further contact details when the 1 named tenant doesnt respond to their calls.

  9. Two or more tenants listed in a property. They split the rent. You can see who paid it in the trust account statement, but when you receipt the funds and specify who paid the rent when creating the receipt (under the reference tab) that reference is never to be seen again.
    No more I say! Let's get the reference that we spend our time writing up every, single time, to appear on both the rental ledger, and the receipt itself that is sent to the tenants. This way we aren't left debating with a tenant because the rent is behind…

  11. Ability to Link a paid invoice to maintenance job. In trying to close off old maintenance jobs, it would be good to be able to link the paid invoice and close the job.

  13. Make Part Payment Reports Accessible to PMs not just Administrators

    Currently the only way for a Property Manager to access reports on tenancies with part payments, is to go through an administrator profile on Business Insights. We recently became aware of leases that were signed as monthly being inadvertently entered as weekly on PT due to data scraping from IRE. Having access to part payment reports should be as easy as accessing arrears reports as they demonstrate an error either on the system or the tenant's payment amount.

    Users can be given access to Business Insights under the User Management - they do not have to be administration access users. Another report that can be used within PT is the Tenancy Leases, you can select to display the Part Payment Column in this report.

  14. We have a few owners that are requesting the subject line to be changed for Ownerships statements. These owners have multiple properties and find it frustrating to have to search each email to find the statement they are looking for. Could we please look at adding the property address into the subject line, so that owners can see at a glance what property the statement pertains to?

    Thanks for your feedback. You can have the Property Address(es) appear in the subject line of the Ownership Statement email. To do this, go to Configuration > Automated Communications > Accounts and select to edit the Ownership Statement email template. Ensure the cursor is in the subject line and then select the Property Address merge field. If you require further assistance with this, please reach out to our superstar support team.

  15. A landlord or tenant can only REPLY to an email that is initiated out of Property Tree. If the landlord or tenant wants to start a new email conversation, they have to use our Outlook email and then we have to save the communication thread into Property Tree under Documents.

    What is the point of having Communications turned on if a landlord or tenant cannot email you into Property Tree directly to start a new conversation thread. A landlord or tenant should not be forced to sign up to the portal to send a message.

    Any of your contacts can email you using your dedicated Property Tree email address - this is how it knows to come into Property Tree and will link directly to the relevant profile. We currently have other tasks in progress regarding Portals and bringing emails into Property Tree from Outlook. However, to email directly into Property Tree, it's that dedicated email address that your contacts need to use.

  16. Like we can see in the communications tab we can see when the recipient has open email etc.
    Can we have this tab when we click on the communications when in the tenant or ownership account.

  17. When running the report in "Find Tenancy Invoice' it has a box you can tick for "Include Archived Tenancies"

    There is no filter in the columns section to see a vacate date. You are unable to identify what tenants are current versus archived on the list, they are all in one.

  18. With the 'New Release' that occurred in September we have since had several tenants question who they are to be paying funds to when we send them invoices, now that they are always also sent a copy of the original PDF (ie. Water Corporation Invoices).
    The ability for individual agencies to turn off/on this "feature" would be imperative to ensure monies are paid to the correct persons where required.

    You can choose whether a copy of the original creditor invoice is sent with the Tenancy Invoice under Configuration > Automated Communications > Tenancy Invoice. Edit the template and there is a checkbox option.

  19. Trigger for auto lease renewal happens when ANY edit to the lease start or end date is done. This is WRONG. There MUST be a pop up for the user to confirm "Do you want to charge a lease renewal fee". This is a serious flaw in the program and must be looked at.

    There is a pop up each time the lease dates are altered with the option to remove the fee and continue. The only time this should be charging outside of this is via third party integrations where these dates are changed.

  20. On the Task for a New Lease or Extension if you upload a copy of the Lease onto the documents section on the Task the system defaults to make the attachment type a “Tenancy Task”. Which means the Lease does not appear in the Documents section when applying the filter to select “Lease Agreements”.
    Rather than uploading the Lease a second time directly onto the documents section it would be great if we could manually change the “Type” to “Lease Agreement” on the document details section which currently is not an option when it is on a task.
