Maintenance Plus Tenant Contact Privacy Settings
It would be extremely beneficial to have a setting within Maintenance Plus that allows agencies to control whether tenant contact details are automatically included on maintenance work orders sent to tradespeople.
We have tenants who have explicitly instructed us that their personal contact details are not to be disclosed to third parties due to privacy and safety concerns. The current system, where tenant details are automatically populated on every maintenance task, creates a significant risk of agencies inadvertently breaching their obligations under privacy legislation or failing to comply with a tenant's expressed instructions.
Ideally, this would be configurable on a tenancy-by-tenancy basis, with options such as:
- "Contact office only to arrange access with an entry notice (minimum 48 hours notice required)" - of course then it would not show the tenants contact details on the task at all.
- Display only a nominated tenant contact on maintenance work orders.
- Display all approved tenant contact details (current functionality).
Having this configurable at the tenancy level would provide the greatest flexibility and ensure agencies can meet individual tenant requirements while still streamlining maintenance management.
If a tenancy-level setting is not currently feasible, at the very least it would be valuable to have a global agency setting that disables the automatic inclusion of tenant contact details on all maintenance tasks. Between the two options, I would strongly prefer the ability to disable the automatic sharing of tenant details rather than having them included by default.
This enhancement would improve privacy compliance, support tenants with safety and security concerns, and reduce the risk of agencies inadvertently disclosing personal information to third parties.
