Export eLearning Inductions to PDF for Easy Review and Printing
Overview
Introduce an option to export an eLearning induction course from OnLocation as a PDF document. The exported PDF should contain the induction content presented to end users, allowing teams to review, print, and share the learning material without manually capturing each slide.
- Problem / Current Limitation
Teams use eLearning inductions to communicate important information to contractors, visitors, employees, and seasonal staff. Managers may need to review these materials to understand what information is being provided before or during an induction.
Currently, there is no known straightforward option to export the complete eLearning induction content as a PDF. When managers request a copy for review, teams may need to open the induction, take screenshots of individual slides, and manually combine those screenshots into a PDF.
This process is time-consuming, requires additional manual work, and makes it less convenient to share induction materials with stakeholders who need to review the content outside the OnLocation platform.
- Requested Functionality
Provide an Export to PDF option for eLearning induction courses.
Ideally, an authorised user managing or reviewing an induction could select the relevant course and export its content into a single PDF document.
The exported document should reproduce the learning content as accurately as reasonably possible, including the following where applicable:
All slides or pages in the induction, in their original order.
Text, headings, images, and other static learning content displayed to end users.
Question and answer content, where applicable and appropriate for the course format.
Clear page formatting so the document is readable when viewed digitally or printed.
Course identification, such as the induction title, to help managers identify which material they are reviewing.
The export should focus on the actual learning material presented to end users, rather than completion statistics or induction reporting data.
- Expected User Experience
A possible workflow would be:
An authorised user opens the relevant eLearning induction in OnLocation.
The user selects an Export to PDF option.
OnLocation generates a PDF containing the induction's learning content.
The user downloads the PDF and shares it with managers or other relevant stakeholders for review.
- Business Use Case
A team needs to provide senior managers with visibility of the induction material assigned to seasonal staff. The managers want to review the information being communicated, such as site requirements, workplace procedures, and other relevant learning content.
Without a direct export option, the team must manually screenshot every slide and combine the images into a PDF before sharing it.
A built-in export function would simplify this process and make it easier for managers to review induction materials without having to navigate through the course slide by slide.
- Business Value
Reduces manual work: Removes the need to capture and combine screenshots.
Improves accessibility: Makes induction materials easier to share with stakeholders who need a copy for review.
Supports management oversight: Helps managers review the content provided to workers, including seasonal staff.
Improves efficiency: Allows teams to prepare review documents more quickly.
Provides a consistent output: Generates a single document with the induction content in a consistent, readable format.
- Suggested Acceptance Criteria
The feature could be considered successful when:
An authorised user can export an eLearning induction course to PDF.
The PDF includes the course's learning content in the correct sequence.
Supported text and visual content are included and remain readable.
The exported document can be downloaded, opened, printed, and shared.
The export is distinct from reports showing induction invitations, completion status, failures, or other participation data.
Determine how interactive elements, such as quizzes, embedded media, or conditional content, should be represented in the exported document.
- Additional Considerations
If an induction contains interactive elements or content that changes depending on a user's responses, it may be useful to define how these elements should appear in the PDF. For example, the export could include the available question and answer options without attempting to reproduce the interactive behaviour itself.
The intention is to provide a readable, reviewable copy of the learning material, not a replacement for completing the induction within OnLocation.
- Summary
An eLearning induction PDF export would give teams a simple way to share the actual course content with managers and other stakeholders. It would replace a manual screenshot-based workaround with a more efficient and consistent process for reviewing induction materials.
