Allow Adding Notes to Manually Signed-In Visitors
Summary
Provide the ability for administrators or hosts to add notes/comments to visitor sign-in records when manually signing visitors in or out through the portal.
Current Behavior
When visitors are manually signed in through the portal, there is no dedicated field to record additional information such as actual arrival time, departure time, reason for manual entry, kiosk outage details, or other attendance-related notes.
Requested Enhancement
Allow users to add and retain notes against a visitor attendance record, either during sign-in/sign-out or by editing the visit record afterward.
Customer Use Case
The customer's kiosk experienced issues, preventing some visitors from signing in and out themselves.
To maintain accurate records, staff manually created the visitor sign-in records through the portal. However, they were unable to record the visitors' actual arrival and departure times or document why the visit was entered manually.
Customer Impact
Loss of contextual information for manually managed visits.
Reduced auditability of visitor records.
Difficulty maintaining accurate attendance history during kiosk outages or operational disruptions.
Additional reliance on external records or spreadsheets to capture visitor attendance details.
Value of Enhancement
Providing a notes field on visitor attendance records would:
Improve audit and compliance tracking.
Allow organizations to document exceptions and manual processes.
Preserve important attendance information during kiosk or operational issues.
Reduce the need for external tracking methods.
Improve accuracy and transparency of visitor records.
Example
A kiosk is temporarily offline.
Current:
Visitor is manually signed in via the portal.
No place exists to record that the visitor actually arrived at 8:07 AM and was entered manually due to a kiosk outage.
Requested:
Staff can add a note such as: "Visitor arrived at 8:07 AM. Record entered manually due to kiosk outage."
