Allow Shared Visitor Records Across Users
Summary
Shared Visitor Directory for repeat visitors and contractors
Current Behavior
The My Visitors feature is user-specific. Visitors saved by one user can only be viewed and reused by that same user. Other users within the organization cannot access those saved visitor records.
Requested Enhancement
Provide a shared visitor directory that allows authorized users to access and reuse visitor records saved by other users within the organization.
Customer Use Case
Organizations frequently host the same contractors, clients, vendors, and repeat visitors across multiple sites and departments.
Currently, each host must create and maintain their own copy of the same visitor record. For example, if one employee saves a contractor in My Visitors, another employee hosting that same contractor cannot reuse the existing record and must create it again.
Customer Impact
Duplicate visitor records are created across the organization.
Increased administrative effort to maintain repeat visitor information.
Risk of inconsistent visitor details between records.
Additional time spent creating pre-registrations for recurring visitors.
Value of Enhancement
A shared visitor directory would:
Reduce duplicate visitor records.
Improve data consistency.
Save time when pre-registering repeat visitors.
Better support organizations with large contractor and visitor populations.
Provide a more centralized visitor management experience.
Example
User A saves John Smith (Contractor).
Today:
User A can reuse the record.
User B must create another John Smith record.
Requested:
User A and User B can both search for and reuse the same visitor record when creating pre-registrations within the Saved Visitors
