  1. Be able to allocate a tenant held credit to an invoice when entering a new account and prior to issuing to a tenant

    You can allocate held funds to a tenancy invoice prior to it being generated. Depending on how you are entering the invoice, there will either be a checkbox or toggle that will then open up a new field for you to enter how much you'd like to allocate. The invoice sent to the tenant will show the invoice amount, the amount allocated and balance remaining (whether $0 or still a balance to pay). 

  2. Currently the system requests us to create a creditor profile to refund tenant overpaid rent.

  3. Add Creditor on Assign Receipt under the Unknown Funds.

    Creditors do not have the ability to hold funds that are not to do with a creditor invoice. When money is returned to the agency perhaps for a double payment, overpayment, or incorrect invoice payment, there is process to correct the mistake to ensure that it is recorded correctly against the Property/Ownership that the invoice related to. Please refer to the helpful knowledgebase articles or contact support for assistance.

  4. There isn't currently a way to log maintenance repairs that a tenant is to cover the costs for within PT. Currently, the only way we log this is by setting a task (in the past it was a note) to follow up and if we find the Tradesman for them, we invoice them via PT but cannot link the invoice etc.

    You can have maintenance specific notes appear on the maintenance request by adding notes on the Property > Details Tab. That first section has the maintenance limit and maintenance notes. Those notes will then appear when a maintenance request is created with a yellow warning symbol.

  6. Being able to send a quote to a contractor and automatically adding owners' details for an example (Mr Smith c/- Real Estate) so the quote has the owners' details not the Real Estate Details. This does show on a work order, but not when requesting a quote.

    You can customise your Quote Request email template to include that information (like the Work Order email). This is found under Configuration > Automated Communications > Property Management (and scroll down to the bottom to find the maintenance templates). There is a merge field for Ownership Name.

  7. We need to be able to charge for things like storage rent or shed rent and carparking which is charged monthly as part of the lease on one invoice with the rent and outgoings. Using the recurring invoices creates problems as you cannot put the due dates in only the 14 days after invoice etc. This means things are due on different days and also on different invoices, it just need to be on one invoice.

    You can set up additional monthly charges under the property/tenancy to charge with the rent/outgoings so it's all within that one invoice that is sent (referred to as Multi-Outgoings). You first need to add the additional outgoings options (car park/shed etc) to the property (you can add different account codes if required), then add a rent change to the tenant (same rent amount, but this adds those additional items to the tenancy for their next billing cycle).   8. Can we have a letting fees report. At EOM we are given a letting fees amount for that month but we cannot look up letting fees so we can check at a later date if a letting fee has been collected. REST had a ledger for all the fees which made it easy to look up fees months later.

  9. Ability to produce a list of all Properties in PT via alphabetical order.

    The basic ability to produce a list of Properties in alphabetical order - to assist with out of PT auditting of documents. Only being able to produce a list via numeric order is not helpful.

  10. We need to know the number of days in arrears, taking into account part payments. Extremely important in commercial as we can lock out when a clear 14 days in arrears.

    The Tenancy in Arrears list shows the Days in Arrears and you can select whether this by Periodic or Effective (to include the part payment), you can also filter by Property Type. If you cannot see the Days in Arrears column, use the three dots to the right of the list headings and this allows you to include/exclude columns from view.

  11. Either a report, receipting alert or similar should be available to notify the agency of tenants paid several weeks in advance, to keep track of tenants paid significantly in advance, when this occurs over an extended period of time (and not in a bulk tenant payment where we would instead release the funds to the landlord periodically, being when rent is due).

    E.g. a tenancy of 20 years is paid 3 months' in advance and funds have been released to the landlord as usual. This is problematic for payment of rates or if the tenancy ceases prior to the paid-to…

    This can be generated via The Tenancy Lease Dates report or via Business Insights. For Tenancy Lease Dates - Remove the lease dates and search, this gives you all tenancies, and then use the paid to date column to sort by ascending/descending (just click on the title of that column and it will sort for you) - this will bring those tenancies paid well in advance to the top of the list. If you cannot see the paid to date column use the 3 dots to the right of the report list and you can select it (and many others) to display. This particular report can be used for so many things as it can display all tenancies. For Business Insights, you can create your own reports - there is a free version of this feature and once a report is created it can be saved so you can view…

  12. Propertytree to send an automated email to rental provider/s 7 days prior to routine inspection without having to send it manually.

  13. Hi Team, for commercial tenants I think it would be great if Property Managers had the ability to change the name for budgeted outgoings.
    For example so we can set it up for management fees ..

    You can change the description and account code of the budgeted outgoings on the property (details > advertised rent). To have this reflect on the tenancy you will need to add a scheduled rent change (which can be for all the same amounts, however will bring through the new description). Please reach out to our support team if you would like assistance with this process. 

  14. It would be a terrific idea if we could have a search bar under the owners card to see when the last fee, EG: lease renewal fee, was charged to save having to manually look through owner ledgers.

    Rather than looking through the ledger, there is another way to find this information. Under the Financial Tab on the Owner, under Fees, there is a "View Fees" Button. This takes you to the Find Fee search with the owner already loaded. You can alter the dates or just select "All" it allows you to add a fee name to drill down to, or search all fees for that owner.

  15. There is no report to find out what are the properties we have not done any rent increases during last 12 months or specific period. After reviewing the rent every 12 months we adding next rent review date by further 12 months and no property manager touching that property for further 12 months unless landlord enquired about it, So it is good to have a report if we can generate where no rent increases happened last 12 months and notify landlords accordingly .

  16. Could we please have an option to export owners contact details into a CSV file for a property managers portfolio, rather than the only option of exporting the full rent roll?

    You can setup custom reports under Business Insights using the Contacts & Profiles tab. Here you can save a report (ie, Owner contacts) and then export it as often as you like.   17. Trying to find an archived tenant - you should be able to find tenants by name regardless of archived or not?? You need to know where they were residing anyway to find an archived tenant??

    Under the Find Profile (within the Managements menu) there is a checkbox to "Include Archived" when searching in this list. When clicking on the tenancy, it will take you to the archived profile and the property/owner that it was linked to

  18. Mail merge to combine mulitple owners and renters into one email rathe then sending individual email to each. Esp when editing the email.

    There is an option within the Owner and Tenant profile to Mail Merge Multiple (by the contacts list in the profile, under the blue Actions drop down), this steps you through selecting a template, you can edit the template at that time, and then go through the steps to send this to all of the contacts in that profile.

  19. Deferred rent - we are new to PT from REST pro which enabled the set up of deferred rent over the prescribed 24 month period in Vic - PT doesnt seem to have the same flexibility to insert a secondary rent charge and drawing of commission so would be integral in managment of commercial until Covid laws/regs conclude in 2025

    You can find these details on the Tenancy Schedule (under Trust and Reports) which also holds the lease dates, rent review dates and rent increase details. The 3 dots in the search results allow you to add more information columns if you cannot currently see all of this information
