Archive (rather than Delete) Users
When users are deleted, all the notes and previous history for that user looses any relationship to this user, e.g a Note would be assigned to someone else OR would not be attached to any user.
This causes issues when legal matters arise, and agencies need to show what a particular deleted user did in the past. If they keep the user, they are charged for them.
Box & Dice handles this by marking users as Active or Inactive, and they are charged based on Active users. This enables all the data to still be assigned to the Inactive user, keeping records and audits correct.
Current workaround for this is we are having to manually give agencies free users, so they can keep the user in the system.
Reported by Brent Allan from Souther Star Realty. He has already won a legal case, because he had proper logs from the people no longer with the business. A case he would of lost had the data no longer been under this persons name.
